Contract Role: 3 Months
Location: San Francisco, CA (Hybrid - 4 Days/Onsite)
We are seeking an experienced and highly organized Senior Administrative Assistant to support senior leadership within a fast-paced and innovative biotechnology environment. This role is ideal for a proactive professional who thrives on managing multiple priorities, coordinating complex projects, and serving as a trusted partner to executive leadership.
The successful candidate will bring strong organizational skills, exceptional attention to detail, and the ability to anticipate needs while maintaining a high level of professionalism and discretion.
Key Responsibilities
- Provide comprehensive administrative support to senior leaders, including calendar management, meeting coordination, travel arrangements, and expense reporting.
- Coordinate domestic and international travel logistics and ensure seamless execution of travel plans.
- Organize meetings, workshops, team events, and leadership gatherings, including scheduling, logistics, catering, and materials preparation.
- Prepare meeting agendas, capture discussion points and action items, and assist with follow-up coordination.
- Support project-related activities by tracking deliverables, timelines, and key milestones.
- Assist with onboarding activities for new team members, including scheduling introductions, training sessions, and team meetings.
- Coordinate interview scheduling and candidate visit logistics.
- Manage office operations, including vendor relationships, office supplies, equipment coordination, and communication with building management.
- Partner with internal departments such as IT, Finance, Human Resources, and Facilities to support business operations.
- Process invoices, contracts, purchase orders, and related administrative documentation.
- Provide backup support to other administrative team members as needed.
Qualifications
Required
- Experience supporting Vice Presidents, senior executives, or leadership teams.
- Demonstrated ability to manage multiple priorities in a dynamic and evolving environment.
- Strong proficiency with Microsoft Office Suite, Teams, Zoom, expense management systems, and other business technologies.
- Bachelor's degree.
- Experience within biotechnology, pharmaceutical, healthcare, or life sciences organizations.
- Excellent written and verbal communication skills.
- Strong organizational, project coordination, and time management abilities.
- Ability to handle confidential information with discretion and professionalism.
Preferred
- Previous support of Research & Development, Clinical Development, or Scientific teams.
- Familiarity with scientific or technical terminology.
