We are currently seeking a highly organized and strategic Project Manager I to join a well-known client’s on-site in Foster City, CA. This role will serve as both an operational and strategic partner, focused on designing, delivering, and scaling efficient, data-driven processes across the full lifecycle of meetings and events.
The Project Manager will blend project management, operational excellence, technology enablement, data governance, and vendor management to drive sustainable efficiencies, improve data integrity, and enable enterprise scalability. This position is ideal for a candidate with a strong process improvement mindset who thrives in a cross-functional, fast-paced environment.
RESPONSIBILITIES
Operational Excellence & Project Delivery
• Lead operational excellence initiatives from intake through execution, driving departmental efficiency improvements.
• Develop and manage detailed project plans, timelines, budgets, and communications.
• Partner with cross-functional stakeholders to identify inefficiencies and implement scalable solutions.
• Drive continuous improvement across meetings and events processes and technologies.
• Own SOP development, documentation, and change management initiatives.
Technology & Platform Leadership
• Serve as Smartsheet subject matter expert and platform administrator.
• Design and maintain scalable, repeatable workflows across the meeting lifecycle.
• Lead onboarding, training, and enablement for internal teams and external partners.
• Act as liaison between stakeholders and platform developers/vendors.
• Oversee SharePoint site governance, including access control, audits, and content management.
Data Insights, Governance & Budget Management
• Coordinate departmental financial activities, including budget tracking, PO creation, and contract submissions.
• Establish and enforce data governance standards and policies.
• Monitor and improve data quality, integrity, and compliance across systems.
• Identify data gaps and implement solutions to ensure consistent reporting and insights.
Vendor & Financial Management
• Manage vendor relationships and coordination activities, including MSA, ITSA, and SSO processes.
• Oversee vendor invoicing and financial tracking for projects.
• Partner with Procurement, IT, and Legal teams to ensure compliant vendor onboarding and renewals.
Measurement, Insights & Engagement
• Lead meeting and event (M&E) survey strategy, including design and alignment with enterprise metrics.
• Partner with external agencies on survey execution and reporting.
• Analyze operational and survey data to drive continuous improvement and decision making.
• Champion adoption of new processes, tools, and operational improvements across stakeholders.
EXPERIENCE
• 6 years of relevant experience, preferably in meetings & events operations, project management, or operational excellence.
• Demonstrated experience managing cross-functional projects and enterprise-level initiatives.
• Strong experience in process optimization, workflow design, and automation.
• Expertise in Smartsheet and workflow automation tools required.
• Experience with data governance, reporting, and quality management.
• Proven experience managing vendor relationships and financial processes.
EDUCATION
• Bachelor’s degree or equivalent practical experience required.
