Position Title: Student Accounts Coordinator
Work Schedule: Full Time (12 Months/1950 Hours per year); Monday- Friday; A minimal amount of evening and/or weekend work may be required
Duties: This position involves frequent verbal, written, and email correspondence with Adrian College staff, faculty, students, vendors, auditors and others.
The successful candidate will:
- Process daily student accounts and cash receipt payments
- Process student account refunds in accordance with Federal guidelines, reviewing student accounts for accuracy
- Apply outside scholarships to student accounts in accordance with Financial Aid guidelines
- Assist students and parents with questions regarding tuition statements, payments, balances, financial holds, outstanding balance and refunds
- Communicate and work with other College Departments to timely and effectively resolve student inquiries
- Assist the Student Business Services Manager with generating and reviewing semester billing and mailing
- Process room and meal adjustments from the Housing department
- Invoice education subsidies from third-party organization
- Audit student accounts to clear financial holds for registration and graduation
- Work with Registrar to process student transcript request
- Issue and approve bookstore credits for eligible students
- Assist with hiring, training and supervision of work-study students
- Prepare weekly and monthly reports for VP of Business Affairs
- Process non-current student accounts receivables and general ledger
- Approve and fulfill cash box requests from various campus departments and reconcile upon return
- Process Office of Development cash receipts
- Perform other duties as assigned
Minimum requirements:
- Associate degree or 2 years of relative experience in banking, accounts receivable, or higher education administration
- Ability to maintain professionalism and provide exceptional customer service, even during occasionally emotionally charged conversations
- Outgoing personality with a positive attitude
- Detail-oriented with a demonstrated ability to maintain accuracy in record keeping and computations
- Strong critical thinking skills
- Proficient in Microsoft Word, Excel and email communication
- Experience with Blackbaud Student Billing is desirable
- Ability to communicate effectively in person and over the phone
- Experience with billing and receipt collections
- Strong reconciliation and problem-solving skills required
- Strong organizational skills
- Excellent written and oral communication skills
- Ability to work effectively as an integral member of a small team
- Ability to multitask and prioritize work effectively, even with frequent interruptions
- Ability to complete tasks with speed and accuracy
Physical Requirements:
- Manual Dexterity: The "fine motor skills" required to operate a computer, mouse, and phone, or to handle paper files and office equipment.
- Visual Acuity: The ability to see and read a computer screen for extended periods
- Sedentary/Light Lifting: The ability to lift up to 25 lbs.
- Reaching & Bending: Occasionally needing to reach above head level or bend down to access low filing cabinets or plug in computer cables.
- Noise Levels: The ability to work in an environment with moderate noise (phones ringing, printers, "open office" chatter).
