Position Summary
We are seeking an Accounts Payable Specialist in Clayton, IA. The Accounts Payable Specialist position is established for the purpose of posting and verifying to obtain and maintain financial and accounting records. This position also performs a wide variety of financial activities related to the accurate processing for payment of invoices and contracts; recording, updating and reconciling fiscal information; and providing support and back-up to other personnel in accordance with established financial practices and guidelines. This position reports to the Controller.
Primary Responsibilities
- Collecting invoices from approved sources and monitoring the AP mailbox.
- Scanning, saving, naming, combining, and organizing invoice and payment documents.
- Entering standard PO and non-PO invoices after coding and approval requirements are established.
- Retrieving purchase orders and receipt support and attaching documentation.
- Maintaining batch-control totals and performing routine duplicate-invoice searches.
- Moving documents through the established AP workflow folders and maintaining payment-week files.
- Preparing standard check and EFT batches for review, without final payment approval or release authority.
- Generating routine aging reports and refreshing established workbooks.
- Preparing remittance documentation and draft notices.
- Filing check copies, remittance records, and completed payment support.
- Following up on routine approval items and responding to standard vendor payment-status questions under established procedures.
Education, Certification & Licensing
- Experience in AP, ERP systems, or shared services preferred.
- Strong computer skills and comfort with payment gateways and bank portals.
- Detail oriented.
- Data entry proficiency.

Additional Information
Since this role includes collecting physical mail, scanning, check documentation, and close coordination with the weekly payment process, this position will be primarily office-based during onboarding. Limited remote work may be considered after training if the assigned duties, document access, controls, and coverage allow it.
