QUALIFICATIONS:
Applicant must be highly qualified, which requires one of the following and a complete application in file to be eligible for the position:
- Graduation from high school or equivalent.
- One year of responsible and varied clerical or secretarial work, including public contact responsibilities or any combination of training, education, and/or experience which could likely provide the required knowledge and ability.
- Verifiable work and character references.
JOB GOAL:
Under direction of the Deputy Superintendent and HR Coordinator, assists in the administration of employee insurance benefits and reporting of claims.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Process New Hire paperwork for insurances and payroll.
- Meets with employees for the completion and change of paperwork, regarding, benefits, FMLA, Workers’ compensation, resignation/retirement.
- Assists in Administration benefit plans, files required forms and communicates benefits to employees.
- Enrolls employees in insurance programs and benefit plans.
- Manages employee FMLA system/paperwork.
- Distributes employee benefits enrollment and change forms to payroll for review and processing.
- Conduct information meetings for employees concerning payroll and benefits.
- Processes Open/Switch enrollment paperwork for all DPS employees.
- Provides assistance to employees regarding retirement and collaborates with payroll to process retirement paperwork for employees.
- Processes employee exit forms and surveys.
- Reports new hire and terminated employees to BIS, supplemental insurance.
- Maintains District Volunteer applications and files
- Processes employee and volunteer background checks.
- Ensure compliance with Federal and State posters regarding FMLA.
- Process Workers Compensation claims, reports to OSHA, student accident reports, accident claims.
- Prepare invoices for insurance premiums due by employees.
- Fill out insurance claims/forms for employees for long-term disability, life claims, AFLAC.
- Work with Finance to update employee insurance and benefits information, as well as leave due to FMLA or Workers' Compensation.
- Assists with the preparation of reports.
- Bilingual efforts as needed, if possible.
- Performs related duties as required.

Machines, Tools, and Equipment
Must know how to properly operate, or be willing to learn to operate, multi-media equipment including current technology as needed. (Various machines and equipment including but not limited to computer, iPad, printer, scanner, fax, and copier.)
Safety and Health
Knowledge of universal hygiene precaution (blood borne pathogens, body fluids, etc.)
Worker Traits and Aptitudes
- Ability to understand and follow oral and written instructions.
- Motor coordination required: eyes, hands, and finger coordination when operating machines and equipment essential to the job.
- Manual and finger dexterity required for operating machines and equipment precisely.
- Adaptability to perform required tasks in a complex office operation with multiple demands from several sources.
Physical Requirements
- Walking, standing, sitting, bending, kneeling and squatting, climbing stairs, speaking and listening, reaching with hands and arms, having full mobility of fingers/hands to finger, handle or feel, close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus, carrying, lifting, and moving up to 25 pounds and/or moving light furniture may be required.
