Pay Range: $75,000 to $80,000 per year
General Statement of Duties:
The Director of Finance and Administration supports the Executive Director in managing the day-to-day supportive functions of Adeo. This role involves a wide range of responsibilities, from strategic planning to oversight of administrative departments that support Adeo’s direct service programs, including its accounting, facilities, community outreach and development and IT staff. This position maintains Adeo Colorado’s financial and accounting systems and controls by establishing financial and accounting policies, procedures, controls, and reporting systems. They collect, interpret, and report financial data, manage cash flow and long term investments, and secure and maintain contractor relations.

Duties and Responsibilities
1. Strategic Planning:
- Assist in developing and implementing strategic plans that align with Adeo’s mission and goals.
- Identify key priorities, set objectives, and monitor Key Performance Indicators.
- Conduct regular reviews of the strategic plan and adjust as necessary.
- Close collaboration with senior leadership team in planning and overseeing program resource management.
2. Financial Management, Accounting, and Controls
- Responsible for the financial administrative functions of Adeo Colorado
- Supervise all accounting functions of Adeo
- Supervise billing, accounts receivable, accounts payable and payroll.
- Direct finance and accounting organizational strategies by contributing information, analysis, and recommendations to strategic thinking and direction; and establishing functional objectives in line with organizational short and long-term goals.
- Direct finance and accounting operational strategies and protect organizational assets by establishing, monitoring and enforcing internal controls.
- Monitor and confirm organization’s financial condition by collecting, interpreting and reporting financial data, conducting audits and providing information to external auditors.
- Create annual departmental budgets with the Executive Director and departmental leads and provides quarterly or as needed reviews of budget to actual expenses to control costs.
- Assist with achieving budget objectives by scheduling expenditures, analyzing variances and suggesting corrective actions.
- Comply with federal, state and local legal requirements by studying existing and new regulations, enforcing adherence to requirements, filing financial reports, and advising Executive Director on needed actions.
- Monitor and review aging reports with billing staff to ensure accuracy and timely adjustments.
- Record restricted funds and expenses accurately.
- Prepare, when needed, and review payroll prior to final submission.
- Confirm accuracy of payroll company’s employee 401K and HSA contributions
- Review, reconcile, and administer credit cards
- Monitor bank accounts, reconcile deposits, set up accounts when appropriate and provide bank with documentation as needed.
- Submit Retirement Plan information to Plan Administrator at year end.
- Consult on any and all financial matters as requested.
- Reconcile Supportive Living Program accounts receivable billing and balances.
- Attend billing training offered by fiscal agent (HCPF) and ensure that all billing staff does the same.
- Act as backup for billing as needed.
- Act as backup for posting of accounts payable and review vendor costs periodically.
3. Data Analysis and Reporting
- Prepare monthly reports and meet with the Executive Director to assess the organization’s resource management, including its fiscal, physical, and technological assets.
- Prepare all monthly and yearly financial statements including monthly and year-end reconciliations, adjusting entries and year-end closing entries.
- Prepares financial information and reports by collecting, analyzing and summarizing information and trends.
- Provide information to the Board of Directors, meet with the board finance committee as needed, and attend board meetings as requested.
- Develop and maintain performance metrics.
- Prepare Worker’s Compensation reports and documentation for Workers Compensation Audit for year end, September 30th.
- Provide accurate and reconciled annual financial reports; working with auditors at year-end, September 30th, to produce audited financials in a timely manner and ensuring compliance.
- Prepare the annual 1099s.
- Provide financial data for grant applications as needed.
- Manage grant billing and reporting as required by the grantor.
4. Contracts Management
- Review and/or negotiate contracts as part of the Leadership Team.
- Retain fully executed contracts in organization files and monitor terms to ensure Adeo compliance.
5. Stakeholder Engagement
- Assist in building and maintaining relationships with key stakeholders, community leaders, governments, partner organizations, vendors and contractors.
- Represent Adeo at meetings, conferences, and public events, while advocating for Adeo’s mission in the broader community.
6. Innovation and Improvement
- Identify opportunities for innovation and improvement within the organization, with a focus on its indirect service support functions.
- Implement best practices and new approaches to enhance efficiency and effectiveness.
7. Risk Management
- Source appropriate insurance coverage for the organization and manage renewals.
- Develop and implement risk management strategies to ensure the organization’s administrative functions remain sustainable and resilient.
- Ensure compliance with legal and regulatory requirements.
- Work with the Executive Director and senior leadership to monitor quality management plans.
8. Employee Relations
- Foster a positive and inclusive workplace culture. Build and maintain strong trust and connection with administrative staff at all levels.
- Ensure administrative staff receive the tools and support to fulfill their duties and responsibilities, building a strong, collaborative, high-functioning team.
- Implement strategies for employee engagement, recognition, and retention.
- Provide support and guidance to staff on HR related matters in collaboration with the Director of Human Resources.
9. Other
- Perform other duties as assigned.
Minimum Qualifications
1. Education and experience:
- Bachelor’s Degree in Accounting, Finance or related field
- 3 years’ experience at the senior accountant level or higher, including extensive involvement in month- and year-end close and audit preparation
- QuickBooks or similar accounting software
- Intermediate Excel
2. Skills

3. Background checks
- Colorado Bureau of Investigation name-based criminal records check and similar check of any other state in which the applicant has resided for the past three years
- Colorado Adult Protective Services records check
- Credit history check
4. Vaccinations and Tuberculosis Testing:
- TB skin testing required prior to start of employment
- Flu vaccination is required annually during Flu season; exemption from this requirement must be approved by Human Resources and the Executive Director
- COVID vaccination is highly recommended for all employees
- Adeo provide employees with the opportunity to receive vaccinations during an annual onsite clinic; vaccination is billed to the individual’s health insurance
