JOB SUMMARY:


Work directly with the Controller & Associate Vice President and Senior Manager of Accounting in carrying out the daily fiscal responsibilities required to operate and administer sponsored grants and externally funded programs. Collaborate closely with the Provost's office, academic departments and principal investigators to ensure accurate financial management, compliance with sponsor regulations and timely reporting.


SALARY INFORMATION:


In compliance with New York's Pay Transparency Act, the annual base salary range for this position is $66,300 - $80,000. Adelphi University considers factors such as departmental budgets, scope and responsibilities of the position, candidate's work experience, education/training, key skills, internal peer equity, as well as market and organizational considerations when extending an offer. The above hiring range represents the University's good faith and reasonable estimate of the range of possible compensation at the time of posting. An annual base salary higher than the range may be warranted in circumstances where a candidate has demonstrable equivalent prior higher education experience at another University.

REPORTS TO: Senior Manager of Accounting


RESPONSIBILITIES & DUTIES:

  1. Collaborate with Assistant Provost and Senior Director of Sponsored Research and Sponsored Programs with all grant proposals, as required.
  2. Prepare cost analysis for new grants.
  3. Serve as liaison with the Senior Director of Sponsored Projects.
  4. Assist PI's in preparing grant submissions. (Prepare budget, budget narrative and upload information on each grantor's website).
  5. Drawdown funds from the Department of Education, NSF and HHS and prepare the necessary reports on a monthly basis.
  6. Approve all disbursements - check requisitions, travel expense reports, purchase order requisitions, payroll transaction forms, etc. for all fund 2 restricted and endowment accounts (non-sponsored grants) on a daily basis.
  7. Prepare the restricted funds reports for distribution to the Provost and Deans as needed.
  8. Prepare the Endowment and Restricted Scholarship report for distribution to the Director of Student Financial Services on a monthly basis.
  9. Reconcile the fundraising activity with the Development office from the general ledger to the Raiser's Edge/BAM system on a monthly basis.
  10. Set up new fund 2 general ledger account numbers, as required.
  11. Prepare grant billing vouchers and financial reports on a monthly basis.
  12. Assist with the preparation of grant close out procedures and federal compliance issues.
  13. Prepare the indirect costs/fringe benefits report and journal entry on a monthly basis.
  14. Monitor Federal Work study, PELL, SEOG and APTS on a monthly basis.
  15. Approve all disbursements for grant - fund 2 accounts on a daily basis.
  16. Prepare the indirect cost and fringe benefit rate proposal on an annual basis.
  17. Follow-up with the outstanding grant receivables with phone calls on a monthly basis.
  18. Assist the independent auditors with the annual Uniform Guidance Audit report (CFR Part 200).
  19. Perform other job-related duties as assigned.


REQUIREMENTS: (Knowledge, Skills and Abilities)

  1. Knowledge of Excel, Word, Inform and Internet applications.
  2. Strong communication and interpersonal skills.
  3. Deep knowledge of Federal and New York State policies and guidelines for grants (pre and post proposal requirements).
  4. Full knowledge of NYS guidelines for M/WBE's.
  5. Must have extensive experience in managing Federal and State grants and full knowledge of grantor's internet sites, such as, NSF, G5, PMS Management and NYS Grants Gateway.
  6. Ability to work cooperatively with others.
  7. Ability to be organized and pay attention to detail.
  8. Ability to prioritize workload according to urgency, volume, etc.


EDUCATIONAL/EXPERIENCE REQUIREMENTS:

  1. Bachelor's degree in Finance or Accounting is required.
  2. Two to three years of grants experience is preferred.
