Role Overview:
Seeking a Legal Billing Coordinator to support the attorney billing function within a professional services environment. This non-exempt position is responsible for compiling, managing, and executing attorney billing. This includes gathering billing information, creating and obtaining approval on several hundred proformas, and creating and distributing final invoices.
The Lega Billing Coordinator will support and interface with multiple billing attorneys across different practice areas and office locations. This person will also communicate with secretaries, staff, and clients while maintaining a high level of confidentiality regarding client and company matters.
Key Responsibilities:
- Create, review, and edit proformas in response to attorney and administrative requests.
- Execute complex bills in a timely manner, including multiple discounts by matter, split-party billing, and electronic billing.
- Compile supporting backup documentation as required.
- Submit invoices by mail, email, and through e-billing platforms as required.
- Configure and maintain information on e-billing sites, including setting up new clients, matters, timekeepers, and billing rates.
- Communicate with clients regarding billing and e-billing setup requirements.
- Address and resolve e-billing disputes, rejections, and short pays in a timely manner.
- Ensure compliance with established billing policies and procedures, recommending process improvements when appropriate.
- Ensure all client, company, and attorney billing deadlines are met, including accruals, budgets, invoicing, and status reports.
- Review and ensure compliance with client-specific billing policies and procedures.
- Review billing requirements within new client engagement agreements and provide feedback when requested.
- Create and maintain desktop procedures, including attorney-, client-, and matter-specific billing requirements.
- Review and approve new client and matter intake forms to ensure accurate system setup, including billing arrangements, rates, and discounts.
- Assist with verifying application changes, enhancements, and system updates.
- Create and ensure compliance with client-specific reporting requirements, including accruals, budgets, timekeepers, and billing rates.
- Communicate professionally and courteously with clients, attorneys, paralegals, and internal staff.
- Create billing schedules and perform various billing analyses as needed.

Technical/Systems Experience:
- Legal or professional services billing experience
- E-billing platforms
- Experience with billing/proforma systems
- Electronic invoice submission
- Microsoft Office/Excel proficiency
- Experience with 3E or similar financial management systems preferred

Salary : $65,000 - $85,000
