What are the responsibilities and job description for the Accounts Payable Specialist position at Adaptive Health?
As an Accounts Payable Specialist, you will support daily operations within the AP function. You’ll ensure invoices are processed correctly, vendor payments are made on time, and records are maintained in compliance with policies. You’ll also assist with month-end close, vendor inquiries, and continuous process improvements in partnership with Procurement, Finance, and Operations.
Key Responsibilities
Invoice & Payment Processing
- Review, code, and process vendor invoices in compliance with company policies
- Execute vendor payments (checks, ACH, wire) accurately and on schedule
- Reconcile vendor statements and resolve discrepancies in a timely manner
Vendor Management
- Serve as a primary contact for vendor inquiries regarding invoices and payments
- Assist with new vendor onboarding, including collecting necessary documentation
- Maintain positive vendor relationships to support smooth operations
Compliance & Controls
- Ensure adherence to GAAP and internal financial policies
- Maintain accurate documentation to support audits and regulatory compliance
- Assist with 1099 reporting and year-end closing activities
Month-End & Reporting
- Support month-end close through accruals, reconciliations, and AP schedules
- Provide reporting on AP activity, including invoice aging and payment status
- Assist with internal and external audit requests
Process Improvement
- Identify opportunities to improve efficiency and accuracy in AP workflows
- Participate in system updates and process changes
- Support team initiatives for automation and best practices
Qualifications & Skills
· Associate’s degree in Accounting, Finance, or related field (preferred)
· 5 years of accounts payable or accounting experience
· Knowledge of AP processes and basic GAAP principles
· Experience with ERP systems (SAP, Oracle, NetSuite, or similar)
· Proficiency in Excel and strong organizational skills
· Excellent attention to detail and ability to meet deadlines
· Strong communication and problem-solving skills
