Litigation Secretary



Salary: $85,000 - $114,321 Annually

La Jolla / UTC Area, San Diego, CA | Full-Time | Hybrid (2 Days In Office, 3 Days Remote)

A prestigious labor and employment law firm is seeking a highly organized and detail-oriented Litigation Secretary to support attorneys in a busy civil litigation practice. This position plays a critical role in ensuring the efficient management of litigation matters while delivering exceptional client service and administrative support.

This opportunity is ideal for a litigation professional who thrives in a fast-paced environment, understands the full litigation lifecycle, and is eager to learn and grow within a collaborative legal team.

Key Responsibilities

  • Prepare, format, revise, and proofread pleadings, motions, briefs, correspondence, discovery, and other legal documents.
  • Create and maintain document shells, finalize filings, and ensure compliance with California state and federal court rules.
  • Electronically file documents in California state and federal courts.
  • Manage litigation calendars, including court deadlines, hearings, depositions, and attorney appointments.
  • Perform docketing and calendaring functions, accurately calculating and tracking litigation deadlines.
  • Coordinate depositions, hearings, mediations, and other litigation-related events, including scheduling court reporters and videographers.
  • Schedule hearing dates and coordinate with court clerks as needed.
  • Maintain and organize client files and case documents.
  • Support attorneys throughout all phases of litigation, including discovery, motion practice, trial preparation, and post-trial activities.
  • Accurately enter and manage attorney time entries and assist with billing-related tasks.
  • Process expense reimbursements, mileage reports, invoices, and check requests.
  • Coordinate travel arrangements for attorneys.
  • Provide professional and responsive communication with clients, courts, vendors, and opposing counsel.

Qualifications



Required

  • Minimum high school diploma or equivalent.
  • At least 5 years of litigation secretary experience in a law firm environment.
  • Demonstrated experience supporting state and federal civil litigation matters.
  • Strong knowledge of California court procedures, rules, and filing requirements.
  • Experience with litigation docketing and calendaring.
  • Ability to prepare document shells, finalize pleadings, and identify applicable court rules and deadlines.
  • Knowledge of the litigation process from inception through resolution.
  • Experience handling discovery-related documents and litigation support.
  • Advanced proficiency in Microsoft Office Suite (Word, Outlook, Excel, and PowerPoint).
  • Exceptional organizational skills, attention to detail, and ability to manage competing priorities.

Preferred

  • Labor & Employment litigation experience.

  • Experience creating Tables of Contents and Tables of Authorities.
  • College degree preferred but not required.

  • Experience supporting attorneys throughout the entire litigation lifecycle.
  • Ability to prepare document shells, finalize filings, and independently locate and apply court rules.
  • Familiarity with California state court procedures and deadlines.

2. Docketing & Calendaring Expertise

  • Strong understanding of litigation deadlines and court calendaring requirements.
  • Experience maintaining attorney calendars and managing critical filing deadlines.

3. Teachability, Flexibility & Adaptability

  • Eagerness to learn new systems and procedures.
  • Ability to adapt in a fast-paced litigation environment.
  • Strong teamwork and problem-solving skills.

Ideal Candidate

The ideal candidate will have experience supporting civil litigation matters from case inception through trial and resolution, including extensive experience with discovery, pleadings, filings, calendaring, and attorney support.

Work Schedule

  • Monday-Friday, 8:00 AM - 5:00 PM
  • Hybrid schedule: 2 days in-office, 3 days remote
  • Office located in the UTC/La Jolla area of San Diego
  • Employees may select their remote days, subject to consistency and business needs
  • First month of employment is fully onsite for training and onboarding
