Human Resources Coordinator / Human Resources Specialist

Position Summary

The Human Resources Coordinator plays a key role in supporting the Center’s Human Resources operations by providing high-quality administrative, technical, recruiting, benefits, onboarding, compliance, and employee support services. This position serves as a critical partner in helping the Center attract, onboard, support, and retain qualified staff who contribute to student success.

This role requires strong attention to detail, sound judgment, professionalism, confidentiality, and the ability to manage multiple HR priorities in a fast-paced environment. The Human Resources Coordinator analyzes and applies HR policies and procedures, evaluates applicant eligibility, supports employee relations processes, maintains accurate personnel records, and helps ensure compliance with Center, company, DOL, and PRH requirements.

The ideal candidate is organized, people-focused, compliance-minded, and committed to delivering excellent service to staff, applicants, students, and leadership.

Essential Duties and Responsibilities

Recruitment, Hiring, and Applicant Management

  • Prepare, post, and maintain job vacancies through internal and external recruiting sources.
  • Source qualified candidates using applicant databases, online recruiting platforms, networking, job fairs, employee referrals, recruiting firms, cold calls, media resources, and other outreach strategies.
  • Receive, organize, and maintain employment applications, resumes, and recruitment files.
  • Review employment applications and screen candidates based on work history, education, training, job skills, compensation expectations, licensing requirements, and other position-related qualifications.
  • Determine applicant eligibility in accordance with established guidelines, job requirements, and applicable licensing codes.
  • Schedule interviews with hiring managers and provide timely recruitment support throughout the selection process.
  • Administer required pre-employment testing.
  • Conduct reference checks and background checks for final applicants.
  • Maintain accurate applicant flow logs and recruitment documentation.
  • Complete weekly employment activity reports and provide updates on hiring progress.

Benefits Administration

  • Distribute information and explain employee benefits programs, including health, dental, life insurance, disability, and 401(k) plans.
  • Verify and complete benefits enrollment forms accurately and timely.
  • Submit enrollment information to the appropriate plan administrator.
  • Maintain benefits enrollment files and related documentation.
  • Reconcile monthly insurance and drug screen billing.

Onboarding, Employee Records, and HRIS Administration

  • Process new-hire paperwork and ensure all required documentation is completed accurately.
  • Establish, organize, and maintain employee personnel files.
  • Ensure employee records are current, accurate, and properly maintained in both personnel files and HRIS.
  • Collect, enter, and maintain personnel data for HRIS, compliance, and reporting purposes.
  • Assist with new employee orientation meetings and onboarding activities.
  • Support department heads in developing staff orientation and training programs.

HR Administrative and Technical Support

  • Provide administrative and technical support to the Center’s Human Resources function.
  • Type and prepare reports, memoranda, correspondence, performance appraisals, and other HR-related documents.
  • Proofread documents for grammar, punctuation, spelling, formatting, and numerical accuracy.
  • Assist with employee recognition programs, certificates, and related initiatives.
  • Monitor and support the staff mentoring program.
  • Maintain confidentiality of sensitive employee, applicant, student, and organizational information at all times.
  • Analyze HR policies and procedures and apply appropriate judgment and discretion when resolving issues and problems.

Compliance, Integrity, and Reporting

  • Follow all integrity guidelines and procedures and ensure there is no manipulation of student data.
  • Produce quality work and complete assignments in a thorough, timely, and accurate manner.
  • Maintain appropriate attendance, accountability, productivity, and professional work standards.
  • Plan, prioritize, and organize assignments to meet established goals and deadlines.
  • Understand and apply job knowledge to effectively complete all required responsibilities.
  • Proactively maintain the skills, knowledge, and technical ability required to perform the role effectively.
  • Provide quality and timely information to DOL and company representatives when requested.

Training, Student Support, and Center Engagement

  • Assist with staff training initiatives and orientation programs.
  • May provide Student Sexual Harassment Identification and Prevention Training to new student inputs on a weekly basis.
  • Mentor, monitor, and model the Career Success Standards as required by the PRH.
  • Provide high-quality supervision and support for the student population as assigned.
  • Take swift and appropriate action to positively influence student behavior.
  • Demonstrate respect and courtesy toward students while holding them accountable for their actions and behavior.
  • Support quality programs and services for students and ensure that student needs are met.
  • Pursue continuous improvement and enhancement of programs, services, and operational processes.

Communication, Problem Solving, and Collaboration

  • Exchange ideas and information clearly and professionally, both orally and in writing.
  • Contribute meaningfully to group efforts by offering relevant ideas, information, and knowledge.
  • Effectively articulate thoughts, recommendations, and solutions.
  • Identify problems, analyze causes, evaluate appropriate solutions, and recommend or take action when needed.
  • Follow up to ensure prompt and appropriate action is taken and that identified problems are corrected.
  • Work in partnership with staff across all departments to ensure effective supervision, HR support, and student services.
  • Accept direction and supervision from the Center Director, Center Duty Officer, or Shift Manager, including temporary assignments to support other departments or positions as needed.
  • Perform other duties as assigned.

Qualifications:

High School Diploma or equivalent required. Associate of Arts Degree from an accredited school preferred. A minimum of two years human resources experience required. Computer literacy and proficiency in the Microsoft Office Suite of applications required. Human Resources Certification preferred.
