The Ada County Clerk’s Office serves the community through five divisions: Court Clerks, Recorders, Auditors, Elections, and Community Programs. POSITION GENERAL SUMMARY:
Performs clerical and support functions related to the court system. Work is performed under well established guidelines set forth by Idaho Code and requires a high degree of accuracy and attention to detail. A Civil Support Deputy Court Clerk will be trained in File and Serve, Odyssey and Customer Service Phone Support.   They are responsible for monitoring the online File and Serve database and processing confidential documents.  Odyssey is a web-based computer system that manages our court cases.   Civil Support Clerks are responsible for processing new and consecutive filings, scheduling hearings, implementing court policies and procedures and phone support assisting parties and the legal community with questions and concerns.

DISTINGUISHING FEATURES OF THE CLASS:
A Deputy Court Clerk in Civil Support generally performs key clerical functions that are sometime recurring in nature and can be narrow in scope.  At times, however, a support clerk will be tasked with more complex clerical tasks which will require the clerk to have a broad knowledge. of the court system in order to perform these more complex functions of the job.  A Civil Support Deputy Court Clerk could be trained in the duties of any of the following three (3) Work areas: Small Claims Unit, Child Protection/Adoption Unit, and/or the General Civil Unit.

  • General Civil Unit: performs work duties associated with Magistrate and District civil cases, Name change cases, Evictions, Prisoner civil Rights and Habeas corpus cases, Post-Conviction cases, Fee waivers, Civil Law suits and other miscellaneous civil cases. Works with in-court clerks and judges, the legal community and the public.  Responsible for customer service support on the phones.

  • Small Claims Unit: Performs work duties associated with Small Claims law cases. Runs weekly reports to assist in scheduling all hearings for small claims cases. Works with in court clerk and Judge and the TCA’s Small Claims Mediation team. Responsible for customer service support on the phones. 

  • Child Protection/Adoption Unit: Performs work duties associated with child Protection cases, Rule L6 Juvenile cases, Out of Home Placement Cases, Surrogacy Cases, and Adoption/Termination Cases. Works with in court clerks, Judges, Prosecuting Attorney's office, Public Defender's office, CASA, Health and Welfare and the Foster Care Program. Responsible for customer service support on the phones.
  • Operates office equipment;
  • Researches records requests;
  • Sorts, stamps, records and files a wide variety of legal and judicial materials;
  • Maintains files and other records;
  • Process all types of cases and documents presented to court;
  • Reads and routes incoming mail and assembles files and other materials to facilitate reply;
  • Explains policies and procedures pursuant to requests of the public attorneys and other officials and departments;
  • Creates case files, updates databases;
  • Reviews documents presented for compliance to standards;
  • Responds to correspondence;
  • Handles database management for specific areas of law;
  • Sets hearing dates; 
  • Processes more sensitive casework. 
  • Maintains high level of confidentiality;
  • Performs job on-site;
  • Arrives punctually and on time for work;
  • Maintains a high degree of accuracy and attention to detail.

 

ADDITIONAL FUNCTIONS: 

  • Cross train in other areas to perform the work of others for vacations, illness, etc.;
  • Performs related functions as required.
  • Must have a high school diploma or equivalent;
  • Knowledge of legal procedures documents and terminology, (preferred);
  • Skill in the operation of computers;
  • Ability to understand and follow verbal and written directions;
  • Ability to communicate verbally and in writing; 
  • Ability to maintain confidentiality;
  • Ability to maintain harmonious working relationships with other employees and the public. 
  • May be required to lift or move up to 25 pounds;
  • Work is performed primarily in an office environment and the employee in this class is subject to inside environmental conditions;
  • Requires sufficient personal mobility and physical reflexes, to permit the employee to function in a general office environment and accomplish tasks.
