Prestigious law firm is seeking a detail-oriented and proactive Administrative Assistant to join our Construction Defect Department. This position will play a key role in supporting attorneys and staff by managing administrative tasks, with a strong focus on calendaring and coordination.
Key Responsibilities
Calendaring Support
- Review incoming documents (court filings, correspondence, notices) for important dates and deadlines.
- Prepare and forward calendaring requests to the central calendaring department for processing.
- Maintain internal department reminders to ensure attorneys and staff are aware of critical dates.
Administrative Support
- Assist with case file organization, scanning, uploading, and maintaining electronic and physical records.
- Draft and format routine correspondence, memoranda, and internal documents.
- Coordinate meetings, conference calls, and departmental schedules.
- Provide general administrative support including data entry and document management.
- Coordinate inspections involving multiple parties, attorneys, clients and experts
Communication & Coordination
- Serve as a liaison between the Construction Defect Department and the calendaring department.
- Communicate clearly with attorneys, paralegals, and staff regarding upcoming deadlines and court requirements.
- Handle incoming calls, emails, and correspondence professionally and efficiently.
Qualifications
- Prior legal administrative experience preferred, ideally in construction defect, litigation, or insurance defense.
- Strong organizational and time-management skills with a high attention to detail.
- Knowledge of legal calendaring procedures and court rules is highly desirable.
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel) and case/document management systems.
- Ability to multitask in a fast-paced environment and work both independently and as part of a team.
- Excellent written and verbal communication skills.

Pay: $18.00 - $22.00 per hour
