Role Description This is a full-time, on-site Executive Assistant role based in Knoxville, TN. The Executive Assistant will provide high-level administrative support to company leadership, including managing calendars, scheduling meetings, and coordinating appointments and travel. Day-to-day responsibilities include preparing and processing expense reports, organizing documents, drafting correspondence, and maintaining accurate records. The role also involves screening and prioritizing communications, supporting internal and external meetings, and assisting with basic reporting and project coordination. The Executive Assistant will collaborate with team members across the organization to ensure smooth daily operations and timely follow-up on leadership priorities.
Qualifications
- Strong Executive Administrative Assistance and Executive Support skills, including calendar management, meeting coordination, and handling confidential information.
- Experience with Expense Reports, including tracking, coding, reconciliation, and adherence to company policies.
- Proficient Administrative Assistance skills, such as document preparation, data entry, filing, and office organization.
- Excellent Communication skills, both written and verbal, with the ability to interact professionally with internal teams, customers, and vendors.
- Proficiency with office software (e.g., Microsoft Office or Google Workspace) and comfort learning new digital tools and systems.
- Strong attention to detail, time management, and the ability to prioritize multiple tasks in a fast-paced environment.
- Ability to work independently on-site in Knoxville, TN, while also collaborating effectively with leadership and staff.
- Previous experience supporting executives or managers, preferably in a service, operations, or automotive/fleet environment, is a plus.
- High school diploma or equivalent required; additional training or education in business administration or a related field is beneficial.
