Position Overview

As the Business Events & Logistics Assistant, you'll play a vital support role in the preparation, execution, and breakdown of our business workshops. You’ll help set the tone for a seamless attendee experience and gain valuable exposure to strategic conversations and operational workflows. You’ll be learning by doing - while building relationships with coaches, clients, and high-performing entrepreneurs.


For the right candidate, additional hours and professional experience may be available through special projects outside of events. This would include opportunities to collaborate with different departments, including the CEO, to support the firm's strategic initiatives.


Key Responsibilities

  • Complete various preparation tasks leading up to in-person and virtual workshop and event dates. Tasks include but are not limited to supplies inventory checks, document preparation, catering orders, packing equipment and materials for transport, etc.
  • Assist with event setup and teardown, including AV equipment, signage, handouts, tables, catering, and venue prep
  • Assist with conducting in-person and virtual workshops, including AV equipment, handouts, and Zoom moderation with the team
  • Support guest check-in, seating, and flow of event logistics
  • Troubleshoot technical needs (slide decks, microphones, projectors, etc.)
  • Prepare, organize, and distribute workshop materials (agendas, name tags, workbooks, etc.)
  • Support the team and clients with real-time requests during events
  • Capture post-event feedback and debriefs for continuous improvement
  • Serve as a behind-the-scenes problem solver, ensuring every detail is handled


Qualifications

  • College enrollment is not required, but this position is ideal for a student studying Business, Marketing, Event Management, Hospitality, or a related field
  • Excellent communication and people skills
  • Detail-oriented, organized, and calm under pressure
  • Physically able to lift up to 40 lbs and stand/move throughout event day
  • Comfortable with basic tech setup (projectors, laptops, HDMI cables, sound, etc.)
  • Access to reliable transportation for on-site events in and around the Greater Waco area
  • Positive, professional, and coachable mindset

Hours & Compensation

  • 10–20 hours/month during the first and second months of each quarter
  • Local events are typically held on the first and third Tuesday of the month, from 2:00 PM – 7:00 PM (*attendance required*)
  • Virtual events are typically held on the first and third Friday of the month, from 10:00 AM – 12:30 PM

  • 20–30 hours/month during the third month of each quarter (March, June, September, December)
  • Local event is the first Tuesday: 2:00 PM – 7:00 PM (*attendance required*)
  • Virtual event is the first Friday: 10:00 AM – 12:30 PM
  • Third week: Virtual event on Tuesday from 9:00 AM – 3:00 PM
  • Third week setup: Wednesday late afternoon into early evening, preparing for the full-day workshop (*attendance required*)
  • 90-Day Planning Workshop: Full-day event on the third Thursday, running approximately 7:00 AM – 7:00 PM (*attendance required*)

  • Additional hours may be available for the right candidate to provide additional experience and support to the firm on strategic initiatives. 


Compensation: Hourly compensation is negotiable. Academic credit may also be available where applicable.

  • Canva design and development of branded materials
  • Asana project management and process organization
  • Special projects supporting the firm’s strategic initiatives
  • Team meeting participation, facilitation, and leadership


We want this role to grow with the right person. A previous team member who began in this position eventually developed into leading team meetings and contributing to the firm in a much broader capacity. While advancement will depend on performance, interests, and business needs, the right candidate will have meaningful opportunities to develop professional skills, receive mentorship, take greater ownership, and expand their contribution over time.


Location & Logistics

  • In-person role based in Waco, TX
  • Must be available on-site for two local events per month (non-negotiable)
  • Preferable to be available for the two virtual events per month
  • Events are predetermined and posted on our website so you can confirm alignment with your schedule
  • Some flexible admin prep hours may be coordinated around your class schedule
