Job Description

The Project Coordinator supports the successful delivery of infrastructure projects by partnering closely with Project Managers to ensure work is executed safely, accurately, and on schedule. This role blends project operations with regulatory compliance and serves as a key resource for project tracking, documentation, and permitting activities. The Project Coordinator acts as the primary point of contact for permit coordination, requiring strong attention to detail, a proactive ownership mindset, and the ability to effectively navigate local jurisdictions, landowners, utility stakeholders, and internal project teams.

Responsibilities

  • Partner with Project Managers, division leaders, field teams, and project leadership to support project execution in alignment with OSHA and internal safety standards.
  • Coordinate and support daily, weekly, and monthly project meetings, including preparing documentation, recording meeting minutes, and tracking action items to completion.
  • Establish and maintain organized electronic project files using systems such as Microsoft Office, SharePoint, and project controls tools including EcoSys and B2W.
  • Coordinate subcontractors, vendors, and material suppliers, and support the scheduling and management of equipment and small tools to keep work progressing efficiently.
  • Prepare and distribute work packages to field teams, maintain production trackers, and audit timesheets to ensure operational efficiency, accurate reporting, and data integrity.
  • Support project closeout activities, including compiling as-built documentation, tracking punch list items, and capturing lessons learned for continuous improvement.
  • Research, prepare, and submit permit applications to local, state, and federal agencies across all project scopes, ensuring accurate and timely submissions.
  • Serve as the primary liaison between internal teams, clients, utility companies, and regulatory agencies, and represent the project in external meetings as needed.
  • Track permit status through approval and construction phases, ensuring compliance with all applicable regulations and communicating impacts to project stakeholders.
  • Coordinate with landowners to manage access agreements and support field execution needs related to site access and permitting conditions.
  • Contribute to the development and refinement of permitting processes and advise leadership on potential impacts of regulatory changes on project execution.
  • Prioritize high-impact tasks in a fast-paced environment while maintaining professionalism and supporting clear, consistent communication among all stakeholders.
Essential Skills
  • High school diploma or equivalent.
  • Minimum of 3 years of experience in project coordination, construction management, or project controls.
  • At least 2 years of experience supporting administrative, permitting, or customer-facing functions.
  • Working knowledge of construction practices, contract management, budgeting, and project lifecycle phases.
  • Strong understanding of the permitting lifecycle, including experience working with local jurisdictions, municipalities, and utility requirements.
  • Advanced proficiency in Microsoft Office, including Excel, Word, Project, Visio, and Access.
  • Experience using project controls tools such as EcoSys, B2W, or similar systems.
  • Exceptional attention to detail with the ability to audit project data, identify discrepancies, and proactively mitigate risks.
  • Effective written and verbal communication skills, with the ability to convey complex project updates and support alignment between office and field teams.
  • Ability to prioritize tasks and manage multiple deadlines in a fast-paced environment while maintaining professionalism.
  • Self-starter with a proactive, problem-solving mindset and the ability to navigate stakeholder interactions with diplomacy.
Additional Skills & Qualifications
  • Experience in project coordination within construction or infrastructure environments.
  • Demonstrated ability to work with multiple stakeholders, including internal teams, clients, utilities, regulatory agencies, and landowners.
  • Experience coordinating subcontractors, vendors, and material suppliers in support of field operations.
  • Familiarity with project meeting facilitation, including preparing agendas, documenting minutes, and tracking follow-up actions.
  • Interest in developing a career path toward Project Management, with a focus on learning project controls, scheduling, and field operations.
  • Ability to contribute to process improvements, particularly in permitting workflows and documentation standards.
  • Strong organizational skills with the ability to maintain structured electronic filing systems across multiple platforms.
  • Professional demeanor with the ability to represent the project team in external meetings with agencies and stakeholders.
Work Environment

This position is based onsite in an office environment in Rancho Cucamonga, providing close mentorship and day-to-day collaboration with an experienced project team. The role offers regular interaction with project managers, field personnel, and support staff, creating a strong foundation for professional development and a potential career path toward Project Management. The work environment includes frequent use of Microsoft Office, SharePoint, and project controls tools such as EcoSys and B2W for documentation, tracking, and reporting. Occasional field visits support direct engagement with construction activities, landowners, utilities, and regulatory stakeholders, offering hands-on exposure to project execution and permitting in practice. The setting is fast-paced and team-oriented, with a focus on safety, continuous learning, and cross-functional collaboration.

Job Type & Location

This is a Contract to Hire position based out of Rancho Cucamonga, CA.

Pay and Benefits

The pay range for this position is $24.00 - $28.00/hr.
