The Project Coordinator will provide on-site construction phase administration for a Connecticut Department of Administrative Services public project. This role focuses on oversight, coordination, documentation, and reporting to ensure the project is delivered in accordance with contract documents, schedule, budget, quality standards, and state requirements. The Project Coordinator acts as the State’s representative in the field and serves as the primary liaison between the Owner, DAS, the Architect/Engineer, and the Contractor during construction through closeout.
Responsibilities- Administer construction phase services from Notice to Proceed through substantial completion and final closeout, including punch list and warranty periods.
- Conduct daily site walkthroughs to observe work progress and verify compliance with contract documents, codes, and approved submittals.
- Maintain complete, accurate, and well-organized project records, including daily logs, photo documentation, correspondence, RFIs, submittals, meeting minutes, schedules, and payment records.
- Schedule, lead, and document pre-construction, weekly progress, and special project meetings with the Contractor, Architect/Engineer, DAS, and user agencies.
- Coordinate construction activities to avoid conflicts and support orderly execution of the work.
- Review, analyze, and report on Contractor CPM schedules, including baseline schedules, monthly updates, revisions, recovery schedules, and as-built schedules.
- Prepare written schedule narratives identifying progress, delays, critical path impacts, and recommended corrective actions.
- Monitor weather impacts and evaluate requests for weather day extensions.
- Track construction costs and monitor progress against the approved budget.
- Review monthly payment applications, verify percent complete, and provide recommendations for payment in accordance with DAS procedures.
- Monitor Contractor payments to subcontractors and report irregularities.
- Review and analyze change order proposals for scope, cost, and schedule impact; prepare independent cost analyses and written recommendations.
- Assist DAS with negotiations, documentation, and approvals of change orders and construction change directives.
- Administer claims and disputes by evaluating entitlement, schedule impacts, and cost justification, and preparing formal written analyses.
- Review and monitor the Contractor’s safety program and report unsafe conditions to DAS.
- Inspect work for quality, code compliance, and conformance with contract documents; issue deficiency and non-conformance reports and track corrective actions.
- Manage punch lists, systems testing, commissioning coordination, and training activities.
- Coordinate inspections leading to Temporary and Final Certificates of Occupancy.
- Collect, review, and submit closeout documentation including O&M manuals, warranties, record drawings, and final requisitions.
- Reviewing and challenging change orders regarding scope, cost, and rates, providing substantiated reasons for agreement or disagreement with proposed changes.
- Understanding and reviewing schedules, analyzing schedule updates, understanding the schedule's construction, expectations, and delays.
- Proficiency in RFIs, submittals, and meeting minutes.
- Experience in contract administration and project coordination.
- Familiarity with PM Web software is a plus.
The role requires on-site work in a field trailer from 7:30 am to 3:30/4:00 pm.

Pay and BenefitsThe pay range for this position is $30.00 - $40.00/hr.
