Job Title: Project Administrator
Job Description
The Project Administrator plays a pivotal role in supporting project teams to manage and execute external client projects effectively. This position facilitates communication among Project Managers, team members, internal and external clients, vendors, and support teams to achieve client objectives. Utilizing Procore project management software, the Project Administrator supports documentation and communication processes, providing essential administrative and document support, communication coordination, and procurement management.
Responsibilities
- Assist with the new opportunity process and coordinate proposal activities.
- Act as the primary Project Coordinator point of contact for assigned projects.
- Serve as the Procore Support Coordinator, ensuring effective use of the tool and providing guidance to the team.
- Support and coordinate activities and processes associated with Procore for both local and regional projects.
- Provide document control support, preparing, editing, proofreading, and converting final documents to PDF for storage in Procore.
- Coordinate the documentation of transmittals, covers, engineering drawings, specifications, scope of works, and reports within Procore before dispatch.
- Support the project team by regularly reporting project status.
- Coordinate RFIs and Submittals for the project.
- Manage procurement and contracting of Subconsultants and Subcontractors, including insurance certificate updates and closeout document requests.
- Assist in coordinating the bidding process by entering Bid Packages through Procore, following up with contractors on bid intentions, and assisting them through the Procore process.
- Support Project Managers with project updates to internal leadership and clients, compiling reports through internal and external Project Management Systems.
Essential Skills
- Proficiency in construction project coordination and administration.
- Experience handling filing reports and quality control reports.
- Strong skills in Microsoft Office tools, including Word and Excel.
- Proficiency in Google Sheets and documents.
- Experience with Autodesk Construction Cloud and Bluebeam.
- Competency in data entry and document control.
Additional Skills & Qualifications
- Experience in project administration and coordination.
- Familiarity with construction management and project coordinating.
- Knowledge of RFI processes in construction management.
Work Environment
The role is based onsite in Haskell, ensuring close collaboration with project teams and stakeholders. The position involves working in a dynamic construction environment, utilizing advanced tools and software to streamline project management processes.
Job Type & LocationThis is a Contract to Hire position based out of Wichita Falls, TX.
Pay and BenefitsThe pay range for this position is $23.00 - $30.00/hr.
