Job Title: Clinical Site Budget Manager

Job Description

The Study Contract Manager plays a key role in driving costings and contracts with US clinical research sites. This position focuses on negotiating site budgets and agreements for clinical trials, developing and managing contracts and annexes with investigators, institutions, and external vendors, and ensuring that all practices remain ethical, fair, and compliant. The primary responsibility is to lead site budget and agreement negotiations that support efficient study start-up and ongoing clinical operations.

Responsibilities

  • Adapt global agreement templates for local use in alignment with local requirements and standard operating procedures.
  • Develop and negotiate clinical site budgets based on Fair Market Value principles.
  • Negotiate contract language and budgets with clinical study sites to reach mutually acceptable terms.
  • Act as the main point of contact and interface with Legal when necessary to ensure the integrity of each agreement.
  • Maintain up-to-date status of agreements, budgets, issues, payments, amendments, and related communications for the duration of each study.
  • Ensure final contract documents accurately reflect the agreements reached during negotiations.
  • Ensure all agreements are executed in a timely manner to support efficient site start-up timelines.
  • Support internal and external audit activities related to contracts and budgets.
  • Ensure compliance with the company’s Code of Conduct and policies related to people, finance, technology, and security.
  • Ensure all executed contracts and related documentation are properly filed and maintained in the Trial Master File (TMF).
  • Consistently follow up with and chase sites for required information and documentation to drive quicker timelines and remove bottlenecks.

Essential Skills

  • Minimum 2–4 years of experience in site contract and site budget negotiation, including at least 1 year at a CRO or sponsor level.
  • Minimum 2 years of hands-on site contract and site budget negotiation experience.
  • Minimum 1 year of experience with GrantsPlan and/or GrantManager software or similar tools.
  • Excellent knowledge of international guidelines, including ICH-GCP.
  • Basic knowledge of GMP/GDP.
  • Good knowledge of relevant local regulations governing clinical research and contracting.
  • Basic understanding of the drug development process.
  • Good understanding of clinical study management, including monitoring, study drug handling, and data management.
  • Strong project management and organizational skills, with the ability to proactively follow up with sites and drive timelines.
  • Excellent attention to detail in reviewing and finalizing contracts and budgets.
  • Good written and verbal communication skills to collaborate effectively with internal and external stakeholders.
  • Strong negotiation skills for both budget and contract language.

Additional Skills & Qualifications

  • Bachelor’s degree in a related discipline, preferably in life sciences, law, finance, or an equivalent qualification.
  • Experience with GrantManager, GrantsPlan, or similar grant and budget management systems, with knowledge of Fair Market Value concepts that can translate to internal tools.
  • Ability to manage multiple contracts and timelines simultaneously in a fast-paced clinical research environment.

Work Environment

This is a remote position, with a strong preference for candidates located in Eastern or Central time zones to support effective collaboration and availability for calls with teams in Poland and the United Kingdom. The role operates in a professional, deadline-driven clinical research environment that relies heavily on contract management systems and tools such as GrantManager or GrantsPlan, as well as internal platforms for budget and agreement tracking. Work is primarily computer-based, involving frequent virtual meetings, email communication, and coordination across global time zones. The position offers a salaried structure with three weeks (15 days) of paid time off, 14 holidays, and eligibility for additional benefits at the one-year anniversary, within a stable group that has demonstrated long-term continuity and no history of layoffs or budget cuts over several years.

Pay and Benefits

The pay range for this position is $39.90 - $45.70/hr.
