DEAL FLOW COORDINATOR
- Location: Remote (US Central Time Hours)
- Job Type: Contract, Full-Time (with potential for long-term)
Pipeline Movement & Coordination
- Send and track NDAs, RFIs, CIMs, and other key documents across all active deals
- Manage communication with brokers, sellers, and other external parties to gather necessary materials and information
- Follow up (again and again if needed!) with clear, professional, and firm outreach across email, calls, and messages
- Schedule and confirm meetings between sellers/brokers and our internal vetting or advisory team
- Maintain precise tracking of deal statuses and next steps using our internal systems (CRM, Airtable, etc.)
- Ensure all required documents and information are logged, filed, and accessible to the right team members
- Surface red flags, delays, or issues to the appropriate internal team members and propose solutions proactively
- Work closely with the Vetting Coordinator, BDRs, and Client Advisors to make sure deal handoffs are seamless
- Partner with internal stakeholders to prioritize pipeline items and adjust focus based on client needs and team capacity
- Support vetting team by ensuring timely flow of information needed for analysis and write-ups
- Track inbound responses from off-market outreach (managed by BDRs)
- Log leads, contact info, and engagement notes accurately in HubSpot
- Ensure follow-ups are completed by the BDR team and escalate any stuck responses
- Coordinate internal handoff once a lead is qualified, schedule vetting calls, gather materials, and prep internal folders
- Maintain status tracking and ensure off-market leads move cleanly through the pipeline
- 1–3 years of experience in operations, client services, or a fast-paced coordinator role
- Comfortable in CRMs (HubSpot preferred) and structured digital workflows
- Exceptionally organized with high attention to detail, you catch what others miss
- Clear, friendly communicator, confident in writing and on Zoom or Slack
- Able to manage multiple tasks, priorities, and people without dropping balls
- Familiarity with small business M&A, ETA, or investment environments is a bonus
- 2 years in a coordination-heavy role (executive assistant, project manager, operations coordinator, etc.)
- Experience juggling communications across multiple parties, timelines, and formats Strong systems skills, Google Workspace, CRM (HubSpot), Slack, Airtable, and/or similar tools
- Fast typing, fast thinking, and a calm presence under pressure
- Comfort with a high-responsibility, high-visibility support role inside a small, scaling team
- Relentlessly organized, you thrive in to-do lists, structured systems, and tidy follow-up loops
- An exceptional communicator, clear, kind, and persistent across phone, email, and chat
- Emotionally intelligent, able to navigate broker pushback, seller uncertainty, and fast-moving deals with maturity and nuance
- Self-motivated, no babysitting required, you spot what’s falling behind and chase it down before it becomes a problem
- Detail-obsessed, typos, duplicate entries, missing attachments? Not on your watch
