Position Summary
The Front Desk & Onboarding Administrative Assistant serves as the primary point of contact for walk-ins, applicants, and new employees. This role provides essential administrative support to the HR department, assists with onboarding, and helps maintain organized, compliant HR operations.
This is a highly customer-service–focused role and a key position during the casino's pre-opening hiring phase.
Key ResponsibilitiesFront Desk & Customer Service
- Greet applicants, visitors, and Team Members in a friendly and professional manner.
- Answer calls, direct inquiries, and provide general HR information.
- Assist walk-ins with job applications, paperwork, or directions.
- Maintain an organized and professional HR front desk and lobby area.
Onboarding Support
- Assist new hires with document collection, I-9s, and required paperwork.
- Enter and track new hire information in UKG Onboarding.
- Support the scheduling and preparation of orientation sessions.
- Ensure onboarding materials, packets, and communication are accurate and complete.
Administrative Support
- Prepare HR forms, packets, folders, and training materials.
- Perform clerical duties such as scanning, copying, filing, and data entry.
- Assist with job fairs, training sessions, and HR events.
- Support LMS tasks such as attendance tracking and class confirmations.
Compliance & Recordkeeping
- Handle sensitive information with confidentiality.
- Assist with identity verification, signature collection, and compliance documentation.
- Track background checks and licensing paperwork when required by Tribal Gaming regulations.
Team Collaboration
- Work closely with the Recruiting & Learning & Development Supervisor and HR Leadership.
- Provide customer service support to all departments.
- Assist HR team members with special projects as needed.
QualificationsExperience
- 1–2 years of administrative, reception, or customer service experience required.
- Experience in HR support, hospitality, Tribal government, or gaming is a plus.
Education
- High school diploma or GED required.
- Some college or administrative coursework preferred.
Technical Skills
- Basic proficiency in Microsoft Office (Word, Excel, Outlook).
- Experience with HRIS/onboarding software such as UKG preferred but not required.
- Strong organization and accuracy in handling documents and data.
