Job Summary: The Payroll Specialist plays a critical role in ensuring accurate and timely management of clinical documentation, client onboarding, provider coordination, insurance compliance and payroll assistance. This position supports both the clinical and administrative teams by maintaining essential systems, managing communication with families, BCBAs, and providers, and ensuring compliance with Medicaid and insurance requirements.

Key Responsibilities:
Payroll :
- Preparing, reviewing and processing staff data in a timely manner.
- Contacting employees for missing documentation/information
- Organizing general documentation
- Verifying information and correcting payroll related issues
Client Onboarding & Support:
- Add new clients into Rethink and update placeholders accordingly.
- Send welcome emails to new families and initiate required documentation.
- Coordinate discharges and submit notifications to insurance providers and internal teams.
Script and Documentation Management:
- Ensure all treatment scripts are current and updated annually.
- Reach out to parents, BCBAs, and doctors for new or updated prescriptions.
- Send prescription request forms and follow-ups to doctors as needed.
- Ensure correct prescribing doctor and script are entered into Rethink.
- Track Medicaid scripts, referring provider NPIs, and compliance deadlines.
- Manage and update master tracking lists and internal databases.
Coordination of Care:
- Confirm Coordination of Care documents are completed and signed.
- Verify they match the prescribing doctor and send to families if updates are needed.
- Maintain consistent communication with families and clinical team regarding updates.
Clinical File Management:
- Upload and maintain accurate documentation in client profiles.
- Ensure files are correctly labeled, stored, and accessible for audits or clinical use.
Annual & Compliance Reporting:
- Ensure yearly script renewals and other clinical updates are completed on schedule.
- Send out required annual progress reports to prescribing doctors.
- Assist with other clinical requests and administrative duties as needed.
Provider Relations:
- Facilitate completion and collection of BCBA provider agreements.
- Serve as a liaison between BCBAs and administrative staff regarding documentation needs.
Qualifications:
- Strong organizational and communication skills
- Experience with Rethink or similar EMR systems preferred
- Familiarity with Medicaid, insurance documentation, and compliance processes preferred
- Microsoft Office (Word/Excel/Outlook)
- Attention to detail and ability to manage multiple priorities
- Experience in a healthcare, ABA, or behavioral health setting is a plus
