What You'll Be Doing
As our front facing Administrative Assistant, (aka the reason we call it a Receptionist) you'll play a key role in keeping our office running smoothly. Your responsibilities will include:
- Greet and welcome guests in a friendly and professional manner and make them feel welcome
- Maintain a positive and efficient working environment
- Answer and screen phone calls
- Answer Questions
- Update client accounts based on payment or contact information
- Maintain and coordinate schedules, appointments, and calendars
- Process all payments and payment fees
- Sorting Mail
- Sending Mail
- Mailing payments and notices
- Organization of resources
- Conduct occasional internet research and price comparisons
- Maintain an organized filing system
- Checking Insurance & Calling Insurance Companies
- Documenting Expenses for multiple Accounts
- Place orders for office equipment or business needs
- Filing Paperwork
- Create spreadsheets
- Use multiple Social Media Platforms as needed to assist Sales and Marketing
- Making copies
- Grabbing Mileage for Sales at time of sale
- Data Entry
- Keeping Shop List Organized
- Maintaining office cleanliness
- Friendly attitude even when dealing with disgruntled customers/ Diffuse the situation
- Respond to all complaints in a friendly and professional manner
- Clean work area as needed to maintain a tidy work environment
What We're Looking For to be successful in this role, you should bring:
- At least 1 year of experience in a receptionist or administrative role or highly trainable and personable personality
- Strong welcoming personality
- Strong organizational , time management & multitasking skills.
- Ability to take initiative
- Excellent communication and interpersonal abilities.
- Proficiency in basic office software (e.g., Google Sheets, Google Suite, Microsoft Office Suite).
- A positive attitude and a willingness to help wherever needed.
- Excellent customer service skills and courteous phone manner
- Well groomed and professional appearance
