Overview

We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills. You will be the first point of contact for visitors and callers, managing multiple tasks with efficiency and professionalism. Responsibilities

  • Greet visitors warmly, assist with check-in procedures, and direct them appropriately
  • Manage multi-line phone systems, answer inquiries promptly, and route calls effectively
  • Handle incoming and outgoing correspondence, including emails, mail, and packages
  • Maintain organized filing systems, data entry records, and manage document proofreading
  • Support appointment scheduling and calendar management using tools like Google Workspace or Microsoft Office
  • Perform clerical duties such as photocopying, scanning, and maintaining office supplies inventory
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed
  • Provide excellent customer service by addressing client questions and supporting their needs with professionalism

Requirements

  • Proven office management or administrative experience in a fast-paced environment
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Experience with multi-line phone systems and phone etiquette standards
  • Familiarity with clerical duties such as filing, data entry, proofreading, and record keeping
  • Personal assistant experience or calendar management skills are highly valued
  • Ability to handle confidential information discreetly while maintaining professionalism
