Position Summary: Responsible for providing programs coordination and support to the Director ofSpecial Education, Assistant Directors of Special Education, the Executive Director, and other program personnel,and will be the first point of contact for districts and parents. This position will be responsible for completing a wide range of administrative tasks. Qualifications Required: 5 years experience in a related position Professional oral and written communicationProficiency in Microsoft applications (Word, Excel, PowerPoint, Publisher)Great attention to detail and accuracy with excellent follow-upCapable of working independently with general directionAbility to manage multiple tasks and competing deadlines while maintaining professional demeanorExcellent organizational skills, positive and proactive attitude, customer service orientation, strong communicatorMust be able to maintain a high level of confidentialityQualifications Desired: Bachelors degree in relevant fieldExperience working for a non-profitExperience working in a schoolResponsibilities: Point of contact for all referrals; logging, disseminating to Assistant Directors and Director for referral summary; contacting districts/parents to schedule tours; follow up post tours send letters of acceptance or letter of no appropriate program with ACCEPTCoordinate acceptance of student; letter to parents/district; assure all appropriate ACCEPT paperwork is completed; coordinate medical piece with Nurse Leader; notify all appropriate staff of new student including Finance for billing purposes; send contracts to districts for new student; enter new student information into Blackboard; set up paper files for new student; establish ESPED IEP for new studentDevelop and maintain IEP meeting calendar for all students; with districts schedule IEP meetings for Assistant Directors of Special Education; prepare all meeting materials in advance of the team meeting; maintain Team Meeting Calendar for all programs; notify staff of meetings and provide dates that materials for meeting must be provided to Assistant Directors/Director; follow up after meeting to assure new IEP is signed in a timely mannerAssure all student contracts with districts are signed and maintain contractsMaintain process for terminated studentsAssist in reviewing progress reports as well as Report Cards to assure format and information is correct before sharing with parents/districts.Develop and maintain attendance logs for classrooms and distribute to districts monthlySchedule all appointments for the Assistant Directors; maintain all calendarsPoint of Contact for Medway program personnel (teachers, support staff, clinicans, etc)Assist in the development of program rosters and maintain rostersMaintain purchase orders for all classrooms (have POs approved, order materials, disseminate when delivered)Draft letters and memos to various constituent groupsDisseminate information to parents/districts as requested by Director Student Services and Executive DirectorTracking information in databases; supporting programming staff with paperwork and documentation Creating and maintaining systems to ensure an organized office environmentDevelop and maintain good relationships with districts and parents Non-Essential Responsibilities: Other related duties as assigned by the supervisor or the Executive Director Success Factors/Job Competencies: Great attention to detail and accuracyAbility to handle confidential informationExcellent interpersonal and communication skillsPositive and proactive attitude Commitment to company mission and valuesStrong team playerPhysical Demands and Work Environment: Physical Demands: While performing the duties of this job, the employee is occasionally required to walk, use hands to type, handle or feel objects, reach with hands and arms, bend, walk up and down stairs, talk, hear, see, sit for prolonged periods of time, lift up to 25lbs, routinely use standard office equipment such as computers, copy machines, fax, phones, shredders and filing cabinets.Work Environment: This work is performed in a school/office environment.The above information on this description has been designed to indicate the general nature and level of work performed by an employee in this position/classification.
