The Academy seeks a caring, energetic, and organized Extended Day Program Assistant Coordinator to support the daily operation of the Extended Day Program serving students in Preschool through Grade 8. This position plays an essential role in creating a safe, welcoming, and engaging after-school environment while building meaningful relationships with students, families, and staff.
Working closely with the Extended Day Program Coordinator, the Assistant Coordinator provides daily leadership within the program and assumes responsibility for program operations whenever the Coordinator is absent.
Position Summary -
The Extended Day Program Assistant Coordinator serves as the lead child-facing professional within the Extended Day Program. This individual spends the majority of each day actively supervising students, facilitating enrichment activities, supporting homework completion, encouraging positive social interactions, and ensuring every child feels safe, valued, and supported.
The Assistant Coordinator assists with daily program operations, supports staff, communicates with families as needed, and helps ensure consistent implementation of Academy policies and procedures.
In the absence of the Extended Day Program Coordinator, the Assistant Coordinator assumes responsibility for the daily operation of the Extended Day Program, serving as the acting program leader until the Coordinator returns.
Essential Responsibilities -
Student Leadership & Engagement
Build positive, caring relationships with students and families.
Supervise students throughout the Extended Day Program.
Lead engaging enrichment activities including arts and crafts, STEM projects, games, outdoor recreation, reading, homework support, and cooperative learning activities.
Foster a welcoming, inclusive, and respectful community where every child feels valued.
Encourage positive behavior, problem-solving, and social-emotional development.
Support students' academic success by providing homework assistance when appropriate.
Program Operations -
Assist the Coordinator with the daily operation of the Extended Day Program.
Help prepare daily schedules and activity plans.
Ensure smooth student transitions throughout the afternoon.
Assist with attendance, dismissal, and student accountability.
Help maintain safe staff-to-student supervision ratios.
Support implementation of Academy policies and safety procedures.
Staff Support -
Provide leadership and guidance to Extended Day staff during daily activities.
Assist in orienting and mentoring new staff members.
Model professionalism, teamwork, and positive interactions.
Help ensure daily responsibilities are completed efficiently.
Communicate observations and concerns to the Coordinator.
Family Support -
Welcome families during dismissal each afternoon.
Assist with student sign-out procedures.
Communicate routine student updates with families as directed by the Coordinator.
Foster positive relationships with students and parents through kindness, professionalism, and excellent customer service.
Refer significant concerns to the Coordinator or Lower School Principal.
Health & Safety -
Monitor student well-being throughout the program.
Respond appropriately to minor illnesses and injuries.
Collaborate with the School Nurse regarding student medical needs.
Complete accident and incident documentation as requested.
Maintain safe and organized indoor and outdoor learning environments.
Follow all Academy emergency procedures.
Administrative Support -
Assist with attendance records and registration updates.
Help organize program materials and maintain inventory.
Prepare supplies for daily and seasonal activities.
Assist with newsletters, calendars, family communications, and special events.
Support vacation programs and enrichment opportunities as assigned.
Acting Program Coordinator
When the Extended Day Program Coordinator is absent, the Assistant Coordinator will:
Assume responsibility for the daily operation of the Extended Day Program.
Supervise Extended Day staff.
Coordinate student attendance and dismissal.
Communicate with families regarding routine program matters.
Address operational concerns as they arise.
Communicate significant issues to the Lower School Principal.
Ensure the program continues to operate safely, efficiently, and in accordance with Academy expectations.
