A Transportation Coordinator is responsible for organizing, scheduling, and overseeing the safe transport of clients to and from our programs, medical appointments, and external supportive services. They ensure seamless logistical care while strictly maintaining patient confidentiality and safety standards.

Job Summary

The Transportation Coordinator manages the daily logistics of patient movement, ensuring timely and safe arrivals for admissions, discharges, medical care, and court obligations. This role acts as a vital link between the clinical team, housing staff, and clients to support continuity of care and program compliance.

Essential Duties and Responsibilities

• Create daily and weekly transport schedules based on clinical appointments and admissions.
• Coordinate with case management, clinical, admissions teams to arrange immediate pickup for new intakes.
• Optimize driving routes to maximize fuel efficiency and ensure on-time arrivals.
• Transport clients safely while enforcing vehicle behavioral standards and safety protocols.
• Assist patients with limited mobility or luggage when entering and exiting vehicles.
• Monitor client attendance, reporting any missed rides or non-compliance directly to clinical directors.
• Assist operations during low-transport hours by processing patient belongings or conducting safety rounds.
• Complete mandatory daily vehicle safety checks (brakes, lights, wipers) before operations.
• Schedule routine maintenance like oil changes, inspections, and tire rotations.
• Maintain precise mileage logs, fuel tracking records, and incident reports.
• Adhere strictly to HIPAA and 42 CFR Part 2 regulations to guard patient privacy.
• Follow all local, state, and federal transport regulations, including Joint Commission or CARF accreditation standards.

Job Qualifications

Education, Credentials and Experience

• High School Diploma or GED required.
• Valid State Driver’s License with a clean driving record (no recent at-fault accidents or major violations).
• Active CPR and First Aid certifications (or willingness to obtain them upon hire).
• 1–2 years of experience in transportation scheduling, logistics, or fleet operations preferred
• Experience working within behavioral health, substance use disorder treatment, or residential care settings is strongly preferred.
• Skills & Knowledge
• Strong understanding of de-escalation techniques and healthy boundary-setting with vulnerable populations.
• Excellent time-management and problem-solving skills to manage sudden schedule changes.
• Proficiency in basic dispatch or spreadsheet software to track logistics.

Physical & Work Environment

• Requires sitting for long periods while driving, as well as lifting patient luggage (up to 50 lbs).
• Schedule flexibility is required, as the role may involve early morning admissions, evenings, or rotating weekend shifts.

Pay: From $25.00 per hour
