General Description
Responsibilities & Duties
- Review and evaluate purchase requisitions, invoices, and orders to ensure accuracy and compliance with standard procurement procedures.
- Verify vendor eligibility and register new vendors within the MIP Accounting system.
- Match invoices with related purchase requisitions to facilitate accurate and timely payment processing.
- Maintain a high level of accuracy and attention to detail while managing multiple tasks and performing data entry.
- Enter procurement data and oversee routine updates and maintenance of vendor records.
- Apply working knowledge of procurement processes, including the creation of purchase orders, vendor selection, contract administration, and interpretation of contract terms.
- Monitor inventory levels and initiate purchasing actions as needed to maintain adequate stock.
- Support asset management by tagging property and updating computerized records of tribal assets.
- Perform additional job duties as assigned.
Qualifications
Education and Qualifications
- High School Diploma with a minimum of 3 years of office or administrative experience required.
- Proficient in general office duties, including data entry, use of computer applications, and effective collaboration with team members.
- Strong written and verbal communication skills.
- Comfortable utilizing technology to support and enhance procurement processes, and adaptable to process improvements.
- Highly detail-oriented, dependable, and able to manage multiple tasks under pressure.
- Self-motivated and resilient, with the ability to work independently and in a team setting.
- Resilient, self-motivated, and capable of working under pressure.
- Strong attention to detail is required.
- Must possess a valid Oklahoma Driver’s License.
- Must be able to pass a background investigation.
Physical Requirements
- Sitting or standing or walking for long period of time; occasional bending, squatting, kneeling, stooping; good finger dexterity and feeling; frequent repetitive motions; talking hearing and visual acuity.
- Travel as necessary
- Frequent lifting (up to 50 lbs)
