Job Summary

Duties

  • Answer multi-line phone systems promptly and professionally, directing calls efficiently and courteously
  • Manage front desk responsibilities, greeting visitors with a friendly demeanor and ensuring they are attended to promptly
  • Maintain accurate calendar management for appointments, meetings, and events using Microsoft Office and Google Workspace tools
  • Perform data entry and filing tasks with precision, ensuring all records are organized and easily accessible
  • Assist with bookkeeping duties using QuickBooks or similar accounting software to support financial record-keeping
  • Provide customer service support by addressing inquiries, scheduling appointments, and supporting client needs
  • Proofread correspondence, reports, and documents for accuracy and clarity before distribution
  • Support office management activities such as supply inventory, equipment maintenance, and general administrative tasks

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Bilingual abilities are highly desirable to serve diverse client needs efficiently
  • Experience with office management, clerical duties, or administrative support roles preferred
  • Exceptional phone etiquette skills for handling inquiries via multi-line phone systems professionally
  • Typing speed of at least 60 words per minute with high accuracy for efficient data entry and correspondence drafting
  • Knowledge of medical or dental receptionist procedures is a plus but not required
  • Familiarity with bookkeeping software such as QuickBooks or similar tools for basic financial tasks
  • Strong attention to detail for proofreading documents and maintaining accurate records
  • Excellent time management skills to handle multiple priorities seamlessly while maintaining professionalism
