Overview
Above and Beyond Mental Health Services is seeking a detail-oriented and compassionate Office Manager to join our team. The ideal candidate will be the first point of contact for new clients. This role requires excellent communication skills, and proficiency in medical administrative support. The Office Manager plays a vital role in providing exceptional client service while maintaining compliance with HIPAA regulations. The Office Manager will perform clerical duties associated with the substance abuse (ASAM) program. Must have the ability to work under stress, multitasking in a fast pace environment.
Duties
- Oversee day to day operations.
- Perform Human Resource tasks from start to finish to include all onboarding processes, posting job openings on social media, conducting interviews/orientations
- Knowledgeable concerning fingerprinting process, background checks, central registry, credentialing of new hires. Maintain employee HR records in compliance with VA State Regulations. Write job descriptions for new positions.
- Process trip claims for payment via the Modivcare Portal; process standing orders for client trips
- Greet clients professionally.
- Collect client demographic data and ensure accurate data entry into Lauris Software System.
- Obtain Signatures concerning all intake documents.
- Provide clients with program rules and distribute information hand-outs to clients.
- Schedule psychiatric appointments for ASAM clients, maintain schedule to ensure that follow up appointments are scheduled
- Maintain confidentiality of client information in accordance with HIPAA regulations
- Provide excellent client service by addressing inquiries via multi-line phone systems and ensuring smooth office operations
- Perform clerical duties such as filing, and data entry of authorizations.
- Process sign ons for Lauris System as
- well as Microsoft email addresses for new employees
- Perform annual evaluations
- Maintain time off request
- Process time approvals for payroll
- Mail distribution
- Other duties as assigned.
Requirements
- Applicant must have a High School Diploma or Equivalent.
- Understanding of HIPAA regulations and confidentiality standards in mental health environments
- Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel)
- Excellent phone etiquette and customer service skills to handle phone system effectively
- Ability to work independently.
- Strong organizational skills with attention to detail concerning data entry task.

Job Type: Full-time
Pay: $20.00 - $21.00 per hour
