OVERVIEW
The Client Services Coordinator (CSC) plays a central role in delivering a high-touch, organized, and compassionate client experience. This position guides clients from engagement through plan fulfillment, ensuring estate plans are completed accurately, signed properly, and delivered on time.
The CSC manages key client service tasks, coordinates client meetings, tracks case progression, and serves as the primary point of contact during the active planning phase. This role is essential to keeping the firm running smoothly and ensuring clients feel informed, supported, and confident throughout the process.
KEY RESPONSIBILITIES
Client Journey & Experience Support
- Serve as the primary point of contact for clients from engagement through plan completion
- Communicate with clients regularly in both English and Spanish
- Review estate planning documents and confidently explain them to clients in plain language
- Lead estate plan signing meetings and binder delivery meetings
- Collect payments at engagement and signing meetings
- Ensure all documents are signed, notarized, scanned, and uploaded correctly
- Make basic, non-substantive document updates under attorney direction
- Send fiduciary letters and client appreciation gifts
- Respond to ongoing client questions in a timely, professional manner
- Request client surveys and testimonials after plan completion
Event Coordination & Outreach Support
- Support firm events and workshops
- Track and follow up with event registrants and attendees
- Prepare materials and assist at events
Administrative & Team Support
- Attend weekly staff meetings
- Participate in regular check-ins with the attorney and paralegal
- Track client files and case status in firm systems
- Ensure timelines and commitments are met
