Position Summary
General Construction firm is seeking a detail-oriented Construction Billing & Compliance Coordinator to support multiple active construction projects. This role is responsible for collecting and tracking certified payroll reports, supporting AIA billing and Job Order Contract (JOC) billing processes, maintaining accurate billing and project logs, and preparing and submitting invoices on time. The ideal candidate is highly organized, comfortable working across multiple projects at once, and experienced with construction documentation and billing workflows.
Key Responsibilities
- Collect, review, and track certified payrolls and supporting compliance documentation from subcontractors and vendors.
- Coordinate AIA billing (e.g., pay applications), including assembling backup documentation and ensuring accurate completion and submission.
- Support Job Order Contract (JOC) billing processes, including tracking job orders, change documentation, and billing packages.
- Maintain organized logs for:
- Multiple construction projects
- Billing status, pay app cycles, invoice numbers, and submission dates
- Missing documents, approvals, and compliance requirements
- Prepare and submit invoices to clients/owners according to contract requirements and deadlines.
- Track approvals, follow up on missing information, and resolve billing/documentation issues proactively.
- Maintain digital and paper filing systems for construction billing, lien releases (if applicable), payroll compliance records, and audit-ready documentation.
- Communicate with project managers, subcontractors, accounting teams, and clients to keep billing on schedule.
- Assist with reporting and reconciliation (e.g., billed vs. unbilled tracking, aging items, pending approvals).
Required Qualifications
- 2 years of experience in construction billing, construction admin, or project accounting support (or equivalent).
- Familiarity with AIA pay applications and supporting documentation.
- Experience collecting and tracking certified payroll documentation (prevailing wage environments preferred).
- Strong organization skills with demonstrated ability to manage multiple projects simultaneously.
- Proficiency with Microsoft Excel and document management (SharePoint/OneDrive/Google Drive or similar).
- Strong attention to detail and ability to meet recurring deadlines.
Preferred Qualifications
- Experience working with Job Order Contract (JOC) billing and documentation.
- Experience with construction accounting/project tools such as: Procore, Sage 100, E-Gordian, Kahua , MS Office or similar.
- Understanding of lien waivers, releases, and general compliance tracking.
- Basic understanding of contract terms, change orders, and cost coding.
- Experienced in working handling, City and State Agencies of NY and an understanding of the local trade industry in NYC a plus.
- Must be able to work full time.
