Legal Billing Specialist

Position Overview

Our client, a prestigious law firm in New York City, is seeking an experienced Legal Billing Specialist to join its Accounting & Finance team. This position is responsible for the full legal billing cycle, working closely with attorneys, clients, and administrative staff to ensure accurate and timely invoicing. The ideal candidate has strong experience with law firm billing, exceptional attention to detail, and the ability to thrive in a fast-paced, client-focused environment.

Responsibilities

• Manage the full legal billing process for a portfolio of attorneys and practice groups.
• Prepare, review, edit, and finalize client invoices in accordance with client guidelines and outside counsel billing requirements.
• Collaborate with attorneys to review prebills, make billing edits, and resolve billing issues.
• Process electronic invoices through e-billing platforms, including LEDES billing formats.
• Monitor billing deadlines and ensure invoices are submitted accurately and on time.
• Research and resolve billing inquiries, payment discrepancies, and client account issues.
• Process billing adjustments, write-offs, write-downs, and transfers as requested.
• Maintain accurate client matter information, billing rates, and engagement terms.
• Assist with accounts receivable follow-up by providing billing support and documentation.
• Ensure compliance with firm policies, client billing guidelines, and outside counsel requirements.
• Participate in month-end billing close and assist with reporting as needed.
• Identify opportunities to improve billing processes and enhance operational efficiency.

Qualifications

• 3 years of legal billing experience in a law firm environment.
• Bachelor's degree in Accounting, Finance, Business, or a related field preferred.
• Experience with legal billing software such as Aderant, Elite 3E, Elite Enterprise, SurePoint, or similar systems.
• Knowledge of e-billing platforms, including Legal Tracker, CounselLink, Tymetrix, or Serengeti.
• Familiarity with LEDES billing formats and outside counsel billing guidelines.
• Strong Microsoft Excel skills and proficiency with Microsoft Office.
• Exceptional attention to detail and ability to manage multiple attorney portfolios simultaneously.
• Excellent communication and interpersonal skills with a strong client-service mindset.
• Ability to maintain confidentiality and handle sensitive financial information.

Preferred Qualifications

• Experience supporting Am Law 100 or midsize law firms.
• Knowledge of trust accounting and legal accounting practices is a plus.
• Experience with complex billing arrangements, including alternative fee agreements and split billing.
• Ability to work independently while collaborating effectively with attorneys and finance leadership.
