Position Overview
We are a growing boutique CPA and advisory firm serving high-net-worth individuals, business owners, and families. We are seeking a highly organized, accountable, and client-focused Executive Assistant to provide top-level support to firm leadership while playing a critical role in managing day-to-day client communication and experience.

Responsibilities
Executive Support
- Provide high-level administrative support to firm leadership
- Manage executive calendars, scheduling meetings, deadlines, and priorities
- Prepare executives for meetings by organizing materials, agendas, and briefing notes
- Organize meeting notes, internal memos, and professional correspondence
- Respond to emails and document requests on behalf of executives with professionalism and discretion
Client Relationship
- Serve as a primary point of contact for select high-net-worth individual tax clients
- Manage day-to-day client communication, including scheduling, document requests, and follow-ups
- Deliver a high-touch, white-glove client experience with timely, thoughtful, and polished communication
- Proactively track outstanding items and ensure clients are guided through the tax process smoothly
- Coordinate client needs with internal tax, bookkeeping, and payroll teams
- Anticipate client concerns and escalate issues appropriately to leadership
Office & Workflow Coordination
- Help manage workflows, deadlines, and task tracking across the firm
- Maintain accurate records in client management and workflow systems
- Ensure follow-ups are completed and nothing falls through the cracks
- Support firm operations, internal projects, and process improvements as the firm continues to grow
Qualifications
- Bachelor’s degree or equivalent professional experience
- 3 years of experience as an Executive Assistant, Client Services Coordinator, Office Manager, or similar role
- Experience in a CPA firm, law firm, financial services, or professional services environment strongly preferred
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
- Exceptional organizational skills with the ability to manage multiple priorities and deadlines
- Strong written and verbal communication skills with a polished, professional tone
- High level of accountability, follow-through, and ownership
- Detail-oriented with a client-first mindset and high standards for service

Salary : $70,000 - $90,000
