We are seeking a proactive and detail-oriented Intake Specialist to join our dynamic healthcare team. In this vital role, you will serve as the first point of contact for patients and visitors, efficiently managing the intake process to ensure smooth and accurate data collection, assisting the patient with navigating insurance requirements, and dispensing ordered equipment. You will also have the opportunity to sell high-value items to earn a commission, while ensuring the patient gets the equipment that best meets their needs. Your energetic approach will help facilitate seamless communication, verify insurance information, and gather essential medical details to support quality patient care and operational excellence. Duties
- Greet patients and healthcare providers warmly, establishing a positive first impression and guiding them through the intake process
- Collect, review, and verify patient information including insurance details, personal data, and medical history with enthusiasm and precision
- Answer phones and direct calls to the appropriate department
- Assist patient with product selection and fitting, when necessary
- Maintain inventory of items on showroom floor
- Process sales and insurance transactions
- Ensure compliance with HIPAA regulations by safeguarding patient confidentiality at all times during data collection and documentation
- Utilize managed care knowledge to verify insurance coverage, benefits, and authorization requirements efficiently
- Enter accurate data into electronic health records (EHR) systems while maintaining attention to detail for CPT coding, ICD-9, ICD-10, and ICD coding standards
- Collaborate with medical office staff to coordinate sales, deliveries, repairs, insurance requirements, status updates, etc.
- Maintain organized medical records and ensure all documentation is complete, accurate, and up-to-date for seamless billing and reporting processes
- Prior experience in a medical office, dental office, pharmacy, or medical sales environment is highly preferred
- Strong computer literacy highly preferred
- Strong understanding of medical terminology, medical records management, and medical coding practices including CPT codes and ICD classifications preferred
- Knowledge of managed care processes and insurance verification procedures preferred
- Familiarity with HIPAA regulations to ensure patient privacy and confidentiality are upheld at all times preferred
- Excellent communication skills with an energetic approach to engaging patients and team members
- Office experience demonstrating proficiency in administrative tasks such as data entry, scheduling, and record keeping
- Ability to handle sensitive information responsibly while maintaining a positive attitude in a fast-paced environment
