We are seeking an Administrative Assistant, Bilingual a plus, to join our team! You will perform clerical and administrative functions in order to drive company success. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs, and managing our company’s general administrative activities. Administrative Assistant responsibilities include answering the phones, preparing reports, and maintaining appropriate filing systems, billing, office support duties, and other related tasks.
Applicant must be detail and deadline oriented, organized, self-driven and proficient with the use of Microsoft Office software. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like Google sheets and office equipment. If you have previous experience as a secretary or administrative assistant and familiarity with mental health or substance abuse agency work, we’d like to meet you. Ultimately, a successful Administrative Assistant should ensure the efficient and smooth day to day operation of our office.
Responsibilities:
· Draft correspondences and other formal documents
· Plan and schedule appointments and events
· Greet and assist onsite guests
· Answer inbound telephone calls
· Implement organized filing systems
· Perform all other office tasks
· Organize and schedule appointments
· Write and distribute email, correspondence memos, letters, faxes, and forms
· Assist in the preparation of regularly scheduled reports
· Update and maintain office policies and procedures
· Order office supplies and research new deals and suppliers
· Maintain contact lists
· Provide general support to management and staff
· Act as the point of contact for internal and external clients
Qualifications:
· Previous experience in office administration or other related fields
· Ability to prioritize and multitask
· Strong attention to detail and problem solving
· Excellent written and verbal communication skills
· Strong organizational skills
· Knowledge of office management systems and procedures
· Knowledge of mental health and substance abuse
· Working knowledge of office equipment, like printers and e-fax systems
· Proficiency in Microsoft Office (MS Excel and PowerPoint, in particular)
· Excellent time management skills and the ability to prioritize work
· High School diploma; additional education would be a plus
