What are the responsibilities and job description for the Receptionist/Administrative Assistant position at A7 Construction?
A7 Construction has an immediate need to seek out a motivated, detail-oriented person to fulfill the role of Office/Administrative Assistant. Reporting to the Owner, the successful candidate will provide their knowledge and expertise to efficiently and accurately complete and maintain the regular Office and admin processes of the company.
Key Tasks and Responsibilities
- Maintain current office processes utilizing programs such as QuickBooks, Microsoft Word, and Excel, Outlook
- Answer and direct phone calls
- Organize and schedule meetings and appointments.
- Maintain contact lists.
- Produce and distribute correspondence memos, letters, and forms.
- Maintain electronic and paper filing system.
- Order office supplies
- Assist with year-end processes.
- Ensure all safety and job books are up to date.
- Assist in audit processes.
- Complete various administrative duties as required, such as mail/shipments, photocopying, scanning and filing documents.
- Additional tasks as required/assigned.
Skills, Knowledge, and Abilities:
- Strong working knowledge and experience with Microsoft products, specifically Microsoft Word, Excel, and Outlook.
- Strong interpersonal, oral, and written communication skills
- Proven organizational, time-management, and motivational skills
- Able to effectively prioritize workload to ensure deadlines are met
- Excellent attention to detail and accuracy
- Demonstrated analytical thinking, observation, and problem solving skills
- Ability to deal effectively and professionally with other business departments and colleagues
- Ability to work efficiently as a part of a collaborative team, as well as independently
- Demonstrated ability to take initiative and achieve results in a fast-paced and changing environment
- Possess problem solving, analytical and critical thinking skills
- Proficiency in QuickBooks would be considered an asset
Qualifications:
- Successful completion of secondary school (Grade 12) or equivalent required
- Experience in the construction industry is considered an asset
