Job Summary
We are seeking a highly organized and detail-oriented Office Administrator to support daily office operations, assist with invoicing and estimating, and help keep communication flowing between field staff, customers, and management. This role is critical in maintaining efficiency and ensuring jobs are processed accurately from start to finish.
Key Responsibilities
- Prepare and process invoices, estimates, and job cost documentation
- Assist with job setup, tracking, and file management
- Coordinate with field technicians, project managers, and customers
- Answer incoming calls, emails, and customer inquiries
- Maintain organized records in Google Drive, QuickBooks, and internal systems
- Support scheduling and dispatch as needed
- Track receipts, expenses, and job-related documentation
- Assist with vendor communication and material ordering
- Ensure accuracy of data entry and reporting
Qualifications
- 2 years of administrative or office experience (construction or plumbing industry preferred)
- Strong organizational and multitasking skills
- Experience with QuickBooks, Google Workspace, and Microsoft Office
- Excellent communication and customer service skills
- Ability to work in a fast-paced environment and meet deadlines
- High attention to detail and problem-solving ability
