Position Overview
A. Scott Jackson Trucking Inc. is seeking a highly organized, detail-oriented Administrative & Accounting Specialist to support our office operations.
This position combines administrative responsibilities with accounting functions and is best suited for someone who values accuracy, consistency, and attention to detail.
The ideal candidate will have experience with accounts receivable (AR), accounts payable (AP), and reconciliations, along with a working understanding of the agriculture and trucking industries.
This role requires someone who takes ownership of their work and ensures that documentation, load records, and financial data consistently tie out accurately, while also being willing to support the broader needs of the office and grow with the company.
Key Responsibilities
Administrative & Operational Support
- Organize and maintain Bills of Lading (BOLs) and supporting documentation across multiple divisions
- Track loads and ensure proper documentation between buyers, growers, customers, and drivers
- Communicate with dispatch to verify load details, weights, and delivery information
- Coordinate with internal teams and external partners to ensure accuracy and completeness of records
- Maintain accurate records of shipments, weights, and transactions
- Provide general office support, including answering phones, assisting with inquiries, and supporting daily operations
- Assist across operations as needed, including hay, heavy haul, gravel, and commodity loads
Accounting Responsibilities
- Reconcile BOLs against invoices, payments, and dispatch records
- Manage accounts receivable (AR) including invoicing and collections
- Process accounts payable (AP) for vendors, growers, and services
- Perform account and load-level reconciliations
- Identify, investigate, and resolve discrepancies in documentation, payments, or load records
Qualifications
- Bachelor’s degree in Accounting, Business Administration, or related field
- 5 years of experience in administrative and/or accounting roles
- Strong knowledge of AR, AP, and reconciliations
- Advanced proficiency in Microsoft Excel (formulas, data tracking, reconciliation support)
- Exceptional attention to detail and accuracy
- Strong organizational skills and ability to manage multiple records simultaneously
- Ability to communicate clearly with dispatch, customers, and internal teams
Preferred Qualifications
- Bilingual (English/Spanish) preferred
- Experience in agriculture, trucking, construction,
- Familiarity with BOLs, load tracking, reconciliation
Job Type: Full-time
Pay: $25.00 - $30.00 per hour
