Schedule: Monday–Friday, 8:30 AM–5:00 PM EST
Work Arrangement: Onsite or Remote
Remote Requirement: Remote candidates must reside within the local radius of the facility.

Education & Experience

• Associate Degree in Healthcare Billing, Accounting, Business, or a related field plus 1 year of healthcare scheduling and patient registration experience; OR
• High School Diploma/GED with 3 years of healthcare experience in scheduling, billing, and/or patient registration.
• Experience in one or more of the following areas:
• • Healthcare scheduling
  • Medical billing
  • Health insurance verification
  • ICD-10 coding
  • Medical necessity checking
  • Insurance authorizations
  • Copay and patient payment collections

Skills & Abilities

• Excellent word processing and computer typing skills.
• Strong interpersonal, written, and verbal communication skills.
• Ability to successfully pass a Medical Terminology Assessment with a score of 80% or higher.
• Ability to successfully pass an Analytical Skills Assessment with a score of 65% or higher.
• Strong attention to detail, accuracy, organization, and problem-solving skills.
• Ability to maintain confidentiality and protect patient information in accordance with HIPAA.

General Purpose

The Pre-Service Scheduling Specialist is responsible for accurately scheduling and pre-registering patients for Sparrow Health System while ensuring insurance eligibility, authorization, and medical necessity requirements are met.

The position performs patient scheduling, registration, insurance verification, authorization processing, ICD-10 code entry, medical necessity checks, financial clearance, payment collection, and patient cost-estimate activities. The specialist must also understand modality-specific requirements and protocols to ensure patients are scheduled safely and appropriately.

Essential Duties & Responsibilities

• Interview patients and/or physician offices to schedule appointments and complete pre-registration.
• Collect and verify accurate demographic, clinical, and financial information required for billing.
• Enter appropriate ICD-10 codes for registration and billing purposes.
• Transcribe verbal physician orders accurately and schedule the appropriate exams or procedures.
• Provide patients with required test preparation and procedure instructions.
• Review orders for accuracy and verify compliance with payer and organizational requirements.
• Perform medical necessity checks during the scheduling process.
• Verify insurance eligibility, benefits, and coverage.
• Obtain and verify required insurance authorizations and referrals.
• Research appropriate resources when scheduling stat, add-on, or unfamiliar procedures.
• Respond promptly to patient and provider scheduling requests.
• Explain patient financial responsibility prior to the point of service.
• Provide service estimates when requested.
• Collect pre-payments, copays, deductibles, and outstanding patient balances as applicable.
• Process accounts held internally or rejected by payers due to registration, authorization, or financial clearance errors.
• Maintain accurate and timely documentation throughout the scheduling and registration process.
• Follow modality-specific protocols and scheduling requirements.
