Job Summary:
The Administrative Coordinator provides administrative and operational support to the Philanthropy team, with a primary focus on Major and Planned Giving initiatives. While centered on these key areas, the role also contributes to the broader success of the department by enhancing donor engagement, coordinating events and communications, maintaining accurate records, and supporting donor cultivation efforts. Success in this position requires professionalism, attention to detail, collaboration, and a commitment to a respectful and supportive work environment.
Hourly Pay: $23 DOE
Schedule: Monday - Friday; 8 AM - 5 PM (flexible)

Responsibilities:
- Coordinate and manage calendars for major gift officers, including proactive scheduling of donor meetings.
- Draft and format donor correspondence, proposals, and presentation materials.
- Communicate with donors via email and phone with professionalism and discretion.
- Maintain confidentiality of sensitive donor data and interactions.
- Input, update, and maintain donor information and meeting notes in the CRM system (Raiser’s Edge/NXT preferred).
- Generate reports and assist with data tracking and portfolio management for assigned fundraisers.
- Support small donor stewardship and cultivation events, including RSVPs, logistics, setup, and follow-up.
- Assist with monthly donor newsletter content creation and coordination.
- Conduct donor research to identify philanthropic interests, giving capacity, and engagement strategies.
- Participate in Philanthropy team meetings and support departmental goals.
- Assist in drafting, editing, and formatting compelling donor proposals to ensure alignment with donor interests.
- Actively contribute insights and feedback during team meetings to support continuous improvement.
- Maintain a professional presence while interacting with donors and external partners.
Education:
- High school diploma, GED, or equivalent required
- Associate or bachelor’s degree preferred.
- Minimum of 5 years of administrative support experience, preferably within a nonprofit or fundraising environment.
- Demonstrated experience supporting fundraising teams and working with donors.
- Proficiency with Microsoft Office Suite and donor CRM systems (Raiser’s Edge/NXT preferred).
- Primarily office-based work with hybrid flexibility
- Occasional evening or weekend availability for events.
- Ability to sit for extended periods while working on a computer.
- Occasional lifting of up to 25 lbs. for materials or office supplies.
- Exposure to typical office equipment, such as computers, phones, and printers.
- Ability to manage multiple tasks and cases
- Must be able to maintain confidentiality and professionalism in all client and team interactions.
