We are a client-focused tax preparation firm seeking a reliable and detail-oriented Office Administrator to join our team. This is an in-person role critical to our daily operations and client service. You will be the first point of contact for our clients, manage key administrative functions, and ensure our office runs efficiently. You will perform essential clerical functions to support our tax professionals and drive our firm's success.
Responsibilities
Manage all inbound telephone calls, providing excellent client service, answering inquiries, and directing calls to the appropriate staff.
Plan, schedule, and confirm client appointments and meetings.
Greet and assist all onsite clients and guests in a professional and welcoming manner.
Perform final assembly of client tax returns, including both digital (PDF) and physical paper copies, ensuring all documents are accurate and complete.
Draft professional client correspondences, including letters and emails.
Manage client communications and data entry using our primary CRM software (TaxDome). We will provide full training on this system.
Develop and maintain organized digital and physical filing systems with strong attention to detail.
Perform all other office tasks and provide administrative support to the team as needed.
Qualifications
Excellent written and verbal communication skills: The ability to communicate clearly and professionally with clients and team members is essential.
Strong attention to detail: This role requires a high degree of accuracy, especially when assembling final tax returns and managing client data.
