The Administrative Assistant will provide essential clerical and operational support to the Site Manager overseeing cleaning services. This role helps ensure smooth day-to-day operations by coordinating staff schedules, maintaining records, tracking supplies, and serving as a point of contact for employees and client representatives.
Key Responsibilities:
- Administrative & Clerical Support
- Provide direct administrative support to the Site Manager.
- Prepare and maintain staff schedules, time sheets, and attendance records.
- Draft and distribute internal communications, memos, and reports.
- Maintain organized filing systems (digital and paper).
- Staff Coordination
- Assist with onboarding paperwork and training schedules for cleaning staff.
- Track employee attendance, absences, and shift coverage needs.
- Serve as a first point of contact for staff inquiries and relay issues to the Site Manager.
- Supply & Inventory Tracking
- Monitor cleaning supply inventory levels and prepare purchase requests.
- Maintain logs of deliveries, usage, and supply distribution across campus.
- Communication & Client Support
- Answer phones, take messages, and assist visitors and client representatives.
- Relay service requests and updates between LIU Post contacts and the Site Manager.
- Help prepare reports and documentation for client meetings.
- Operational Support
- Assist with coordinating special projects, seasonal cleanings, or event-related services.
- Ensure compliance with company policies, safety protocols, and client expectations.
Qualifications:
- Required:
- 1–2 years of administrative or office support experience.
- Strong organizational and multitasking skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Clear written and verbal communication skills.
- Ability to handle confidential employee and client information professionally.
- Preferred:
- Experience in facilities, cleaning/janitorial services, or staffing coordination.
- Familiarity with scheduling systems or workforce management software.
- Bilingual (English/Spanish) is a plus.
- College Degree is a plus.
