Our Huntley location is seeking an on-site, reliable, and motivated Executive Assistant who thrives outside the traditional corporate setting. We’re looking for someone who prioritizes customers, communicates with professionalism and warmth, and takes pride in representing our brand with excellence.

Hours: Monday - Friday, 8:00 AM - 4:30 PM.

Responsibilities:

· Weekly AR/AP responsibilities

· Process and verify expense reports from field crew

· Approve and file sub-contractor invoices and receipts

· Dispatch work to field technicians

· Act as a liaison between us and Insurance companies

· Follow up on open Service Orders- Assist with assigning tasks to employees and keeping up with communication between third parties, our customers, and The Company.

· Work with building departments to obtain permits as needed and file appropriately

· Approve employee time cards and reconcile time off

· Schedule employees, estimators, and sub-contractors

· Answer office phones, handling inquiries from insurance companies and opening new Loss tickets as needed.

· Other jobs/duties as assigned

To succeed in this role, you:

· Proven experience as an executive administrative assistant or similar role.

· Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

· Strong organizational and time-management skills.

· Excellent written and verbal communication skills.

· Ability to prioritize tasks and work independently.

· Attention to detail and problem-solving skills.

· Embrace technology and are naturally computer literate

Additional requirements:

· High School Diploma or equivalent

· Must be able to pass a Background Check
