Job Title: Administrative Operations Assistant

Job Summary

We’re seeking a dynamic and detail-oriented professional to manage an in-office administrative role that covers a variety of duties including front desk reception, human resources clerical support, and office administration. This position is ideal for someone who enjoys wearing multiple hats, and values precision and organization.

Key Responsibilities

Front Desk Reception

  • Greet and assist visitors, clients, and vendors with professionalism and warmth
  • Answer and direct incoming calls, emails, and deliveries
  • Maintain visitor logs and ensure building security protocols are followed
  • Provide general information and support to walk-ins and scheduled guests
  • Receive daily mail and packages and ensure they are delivered to the intended recipient in a timely manner

Human Resources Assistant

  • Support recruitment efforts including posting jobs, scheduling interviews, and onboarding
  • Maintain employee records and assist with benefits administration
  • Coordinate training sessions and track compliance documentation
  • Help facilitate employee engagement initiatives and internal communications

Office Management

  • Oversee daily office operations and ensure a well-organized workspace
  • Manage office supply inventory and vendor relationships
  • Order and maintain employee food and beverage break room supply
  • Assist with coordination of meetings and company events
  • Serve as the point of contact for facility-related issues and IT coordination

Qualifications

  • Bachelor’s degree in Business Administration or related field is preferred
  • 4 years of experience in a similar multi-functional administrative role
  • Proficiency in Microsoft Office Suite and HRIS Software (e.g. BambooHR) is required
  • Strong organizational and time management skills
  • Excellent communication and interpersonal abilities
  • Ability to handle sensitive information with discretion

Preferred Skills

  • Experience with HRIS systems (e.g., BambooHR, ADP)
  • Familiar with D-Tools database and/or PandaDocs software
  • Knowledge of labor laws and compliance standards
  • Customer service experience in a front desk or receptionist role
  • Problem-solving mindset and proactive attitude

Job Type: Full-time

Pay: $48,000.00 - $50,000.00 per year
