Shipping & Receiving Clerk

725 Print Lab, Inc.

Position Summary

The Shipping & Receiving Clerk is responsible for accurately receiving, inspecting, documenting, organizing, staging, and shipping garments, supplies, customer-provided goods, and completed orders for 725 Print Lab, Inc.

This position serves as an important checkpoint between Customer Service, Purchasing, Production, and Shipping. The Shipping & Receiving Clerk is responsible for making sure incoming merchandise matches the order before it reaches production and that completed orders are packaged and shipped accurately.

Accuracy and communication are critical. Garment shortages, incorrect styles, incorrect colors, damaged merchandise, or missing items must be identified before an order enters production.

Key Responsibilities1. Receiving Incoming Shipments

  • Receive and check in all incoming packages and deliveries promptly.
  • Verify the shipment belongs to 725 Print Lab and identify the associated:
  • Customer
  • Purchase Order
  • Sales Order
  • Printavo Job
  • If a package arrives without clear PO or job information, research the shipment in Printavo before staging it.
  • Open incoming shipments and compare the contents against the vendor packing slip, purchase order, and Printavo job.
  • Physically count garments instead of relying solely on the quantity shown on the shipping label or packing slip.
  • Verify:
  • Brand
  • Style number
  • Garment type
  • Color
  • Size
  • Quantity
  • Inspect merchandise for visible damage, stains, defects, incorrect items, or shipping damage.

2. Receiving Accuracy & Quality Control

Before merchandise is released to production, confirm that the physical merchandise matches the information entered into Printavo and the approved order.

Check for:

  • Incorrect garment styles
  • Incorrect colors
  • Incorrect sizes
  • Missing garments
  • Extra garments
  • Damaged garments
  • Vendor substitutions
  • Incorrect customer-supplied merchandise
  • Partial shipments

Any discrepancy must be documented and communicated before the affected merchandise is released to production.

3. Printavo Receiving & Documentation

  • Mark merchandise as received in Printavo using the appropriate receiving/Manage Goods process.
  • Maintain accurate receiving quantities in the system.
  • Record partial shipments and shortages.
  • Add clear notes regarding discrepancies or receiving issues.
  • Make sure the physical merchandise and Printavo quantities match.
  • Do not mark an order completely received until all required merchandise has been physically verified.
  • Maintain organized documentation for packing slips, vendor shipments, returns, and receiving issues.

4. Handling Shortages & Receiving Problems

When a shipment has a shortage, incorrect item, damage, or other discrepancy:

  • Separate the affected merchandise.
  • Clearly mark the order ON HOLD when the issue prevents production.
  • Document the discrepancy in Printavo.
  • Photograph damaged merchandise, incorrect merchandise, shipping labels, packing slips, or boxes when necessary.
  • Notify Customer Service and/or the Production Manager.
  • Clearly identify what is missing or incorrect.
  • Do not release affected merchandise into production until the issue has been resolved or management has approved proceeding.

The Shipping & Receiving Clerk is expected to communicate receiving problems quickly so Customer Service can contact the vendor or customer without unnecessary delays.

5. Order Labeling & Production Staging

Every received order must be clearly identified before being moved into the production area.

Label boxes with:

  • Customer name
  • Job or PO number
  • Due date
  • Decoration method
  • Box count such as “1 of 3,” “2 of 3,” etc.

Use the appropriate receiving status:

GREEN – Complete / Ready for Production
All merchandise has been received, counted, inspected, and verified.

RED – Shortage / Issue / Hold
The order has missing merchandise, incorrect merchandise, damage, or another issue requiring attention.

Stage completed receiving orders according to:

  • Due date
  • Production priority
  • Decoration method
  • Production schedule

Orders should be routed to the appropriate production area, including:

  • Screen Printing
  • Embroidery
  • DTF
  • Finishing / Fulfillment

Maintain an organized receiving and staging area at all times.

Shipping Responsibilities6. Completed Order Verification

Before an order leaves 725 Print Lab:

  • Verify the correct customer and job.
  • Confirm the quantity being shipped.
  • Confirm the correct shipping or pickup method.
  • Make sure all boxes belonging to the order are accounted for.
  • Verify that required paperwork is included.
  • Properly package merchandise to prevent damage during transportation.
  • Clearly label all cartons.

Never knowingly ship an incomplete order without management or Customer Service approval.

7. Shipping Labels & Carrier Processing

  • Create accurate shipping labels using approved shipping carriers and company systems.
  • Verify:
  • Customer name
  • Shipping address
  • Number of packages
  • Package weight and dimensions when required
  • Shipping service
  • Attach labels securely to the correct cartons.
  • Organize outgoing packages for carrier pickup.
  • Maintain tracking information when required.
  • Communicate shipping or pickup issues to Customer Service.
  • Keep the outbound shipping area clean and organized.

Returns & Vendor Shipments

The Shipping & Receiving Clerk may assist with garment and vendor returns.

Responsibilities include:

  • Separate merchandise being returned.
  • Verify the garments and quantities being returned.
  • Obtain or document the vendor return authorization number.
  • Clearly write the return number on the top and side of the return carton.
  • Create the appropriate return shipping label.
  • Prepare the package for shipment to the appropriate vendor warehouse.
  • Document the return in the system.
  • Maintain return paperwork and tracking information.

Inventory & Warehouse Organization

  • Maintain clean and organized receiving, shipping, and staging areas.
  • Keep customer merchandise separated to prevent orders from being mixed.
  • Maintain clear identification on open boxes and partial orders.
  • Assist with organizing blank garments, shipping supplies, boxes, and production materials.
  • Monitor commonly used shipping supplies and notify management when supplies need to be reordered.
  • Assist with periodic physical inventory counts when requested.
  • Help locate garments and orders for Customer Service and Production.
  • Follow established storage and production-flow procedures.

Communication Responsibilities

The Shipping & Receiving Clerk works closely with:

Customer Service – shortages, incorrect garments, customer-supplied goods, vendor issues, and shipping information.

Production – order readiness, production staging, priorities, and missing merchandise.

Management – damaged shipments, significant discrepancies, inventory issues, and workflow problems.

The employee is expected to communicate problems as soon as they are discovered rather than allowing an incorrect or incomplete order to move forward.

Performance Expectations

Success in this position will be measured by:

  • Receiving accuracy
  • Shipping accuracy
  • Accurate garment counts
  • Accurate Printavo receiving records
  • Proper identification of shortages and discrepancies
  • Timely communication of problems
  • Proper order labeling
  • Proper production staging
  • Reduction in lost or misplaced garments
  • Reduction in orders reaching production with receiving errors
  • Cleanliness and organization of shipping/receiving areas
  • On-time preparation of outbound shipments

Primary Goal:
The right garments, for the right customer, in the right quantity, in the right production area, at the right time.

Qualifications

  • High school diploma or equivalent preferred.
  • Previous shipping, receiving, warehouse, inventory, or production experience preferred.
  • Strong attention to detail.
  • Strong organizational skills.
  • Ability to accurately count and verify merchandise.
  • Basic computer skills.
  • Ability to learn Printavo and company shipping systems.
  • Ability to read purchase orders, packing slips, shipping labels, and job information.
  • Ability to communicate clearly with Customer Service, Production, and Management.
  • Ability to manage multiple orders and priorities in a fast-paced production environment.
  • Dependable attendance and punctuality.

Physical Requirements

This position requires regular physical activity associated with a production and warehouse environment, including:

  • Standing and walking for extended periods.
  • Bending, reaching, and lifting throughout the workday.
  • Moving boxes and garments between receiving, staging, production, and shipping areas.
  • Safely lifting and carrying packages associated with normal apparel and shipping operations.
  • Using carts and other material-handling equipment when appropriate.

Urgency – Receiving delays can become production delays.

Quality – Catch problems before they reach production or the customer.

At 725 Print Lab, Shipping & Receiving is not simply moving boxes. This position is one of the first and last quality-control checkpoints for every order that moves through our facility.

Pay: $15.00 - $18.00 per hour
