We are a rapidly growing Health & Life Insurance Agency seeking a knowledgeable and experienced Administrative Assistant/Customer Service Representative to support our sales team with the initial stages of the sales process. Key Responsibilities:
Sales Support & Client Intake
- Gather all required client information with accuracy and completeness.
- Handle preliminary client inquiries and ensure timely follow-up to support the sales pipeline.
Application & Document Management
- Review new business submissions for accuracy, completeness, and proper signatures before processing.
- Submit, scan, upload, and route application documents to appropriate carriers or internal departments.
- Maintain organized and up-to-date digital and physical files, including product materials and carrier resources.
Database & Communication Management
- Accurately maintain CRM records, documenting all client interactions and future action items.
- Serve as a liaison with carrier reps, brokerage offices, and internal departments to resolve questions and support smooth case handling.
- Navigate and utilize carrier websites efficiently for quoting, verifying enrollment, gathering forms, or ordering materials.
Administrative & Team Support
- Provide administrative support to Sales Agents on specific projects or daily workflow needs.
- Use office equipment efficiently, including fax, scanner, copier, and postage machines.
- Assist in keeping the shared drive organized with current product, carrier, and contact information.
Professional Development
- Participate in ongoing training, educational seminars, and industry updates to maintain strong product and regulatory knowledge.
Qualifications
- 2 years of insurance industry experience preferred, ideally in health and/or life insurance.
- Strong knowledge of quoting processes, customer service, and insurance products.
- Proficiency in Microsoft Office & Google Workspace; CRM experience preferred.
- Exceptional attention to detail, accuracy, and organizational skills.
- Strong written and verbal communication abilities.
- Ability to work efficiently in a team-oriented, fast-paced environment.
- Wisconsin State Health License preferred (or willingness to obtain).
