Position Overview
The Project Manager / On-Site Supervisor manages daily contract operations for Medical Support Assistant staffing in a clinical healthcare environment. This position oversees staffing coverage, recruitment coordination, onboarding, training compliance, performance management, timekeeping review, customer service standards, and communication with government supervisors and contractor leadership.
The Project Manager ensures all assigned positions are filled by trained personnel, maintains coverage for planned and unplanned absences, supports continuity of patient services, and provides direct oversight to ensure staff meet attendance, conduct, confidentiality, and performance expectations.
Key Responsibilities
- Manage daily staffing coverage for Medical Support Assistants across assigned clinical areas.
- Ensure all positions are covered by trained personnel at the required times.
- Coordinate coverage for planned leave, unplanned absences, tardiness, weekends, holidays, evenings, and emergency needs.
- Maintain a central sign-in log or electronic attendance system to confirm staff are present and ready to work at the start of each shift.
- Coordinate with government supervisors before approving leave or changing staffing coverage.
- Notify appropriate points of contact of absences, late arrivals, early departures, or staffing issues.
- Recruit, screen, and submit qualified candidate profiles/resumes within required timelines.
- Participate in candidate screening calls or interviews with government supervisors.
- Ensure new hires complete required onboarding documents, medical clearance, background/security requirements, drug testing, non-disclosure forms, and IT security training.
- Meet with new employees on their first day to review timekeeping, attendance, emergency personnel designation, and workplace expectations.
- Coordinate new employee orientation and monitor role-based training progress.
- Track completion of mandatory training and submit required documentation by established deadlines.
- Provide refresher training or coordinate additional training when performance gaps are identified.
- Attend regular meetings with government supervisors and stakeholders to discuss recruitment, staffing, process changes, and performance issues.
- Review and approve employee timecards.
- Verify differential-eligible hours and ensure weekly differential summaries are reviewed and signed before payroll submission.
- Monitor employee performance and ensure duties are completed accurately, timely, and professionally.
- Obtain feedback from government supervisors for employee evaluations.
- Complete mid-year and annual employee evaluations.
- Counsel employees regarding attendance, performance, conduct, or customer service concerns.
- Support corrective action, replacement, or termination processes when necessary.
- Ensure all staff comply with appearance, conduct, patient confidentiality, privacy, customer service, and vaccination requirements.
- Serve as trained backup support and be capable of functioning in the MSA role when needed.
Required Qualifications
- Experience managing administrative, healthcare support, staffing, or patient-facing service personnel.
- Experience supervising staff in a healthcare, hospital, clinical, research, or federal environment preferred.
- Strong staffing coordination, scheduling, attendance management, and employee relations experience.
- Ability to manage coverage in a 24/7/365 healthcare environment.
- Experience with recruitment, onboarding, training tracking, timekeeping, and performance management.
- Strong written and verbal communication skills.
- Ability to communicate effectively with government supervisors, contractor staff, and company leadership.
- Knowledge of patient confidentiality, privacy, professional conduct, and customer service standards in a healthcare environment.
- Ability to work onsite full-time and adjust schedule as needed to support off-shift oversight.
