Position Overview
The Project Accounting & Operations Coordinator will support both the financial and operational sides of the business. Working closely with leadership, project teams, vendors, and procurement staff, this individual will help ensure project information, financial records, and vendor documentation remain accurate and organized throughout the project lifecycle.
The ideal candidate is detail-oriented, proactive, organized, and comfortable managing multiple priorities in a fast-paced environment.
Key Responsibilities
Accounting & Financial Support
- Process accounts payable and accounts receivable transactions
- Review, verify, and enter vendor invoices
- Coordinate ACH payments, wire transfers, and payment confirmations
- Assist with collections efforts and aging reports
- Support project billing activities and financial reporting
- Reconcile vendor statements and resolve discrepancies
- Maintain organized accounting records and project documentation
- Assist with vendor onboarding, including W-9s, certificates of insurance, and banking information
- Support month-end close activities and reporting processes
- Collaborate with leadership on project financial tracking and budget reporting
Project Operations & Procurement Support
- Assist with project financial tracking from contract award through project completion
- Coordinate with procurement and project teams to ensure costs are properly documented and recorded
- Track purchase orders, vendor commitments, deposits, and project-related documentation
- Support communication between accounting, vendors, consultants, and project teams
- Help maintain project budgets, cost records, and supporting financial documentation
- Monitor progress payments, vendor invoices, and client billing support activities
- Assist with workflow management and project information systems
- Help ensure project records remain accurate, organized, and accessible to appropriate team members
Qualifications
- 3–7 years of accounting, bookkeeping, project accounting, or related experience
- Strong attention to detail and organizational skills
- Ability to manage multiple priorities and deadlines effectively
- Excellent written and verbal communication skills
- Proficiency with Microsoft Excel and Microsoft Office Suite
- Experience using accounting software required
- Experience with project-based accounting environments preferred
- Background within architecture, interior design, construction, engineering, procurement, or related industries is a plus
- Ability to work collaboratively across multiple departments and stakeholders
