- Oversee daily office operations to ensure a productive and organized environment
- Manage calendars, schedule appointments, and coordinate meetings with precision and professionalism
- Supervise administrative staff and provide training & development opportunities to enhance team performance
- Handle vendor management, including negotiating contracts, processing invoices via QuickBooks, and maintaining supplier relationships
- Coordinate event planning for company functions, meetings, and community outreach initiatives
- Maintain accurate bookkeeping records, including filing, data entry, and financial documentation
- Support human resources functions such as onboarding new employees, managing payroll processes, and handling employee inquiries
- Oversee front desk activities, including multi-line phone systems, phone etiquette, and visitor reception
- Assist with medical office management tasks if applicable, ensuring compliance with healthcare regulations and confidentiality standards
- Proven experience in office administration or office management roles with strong organizational skills
- Supervising experience with the ability to lead and motivate a team effectively
- Proficiency in QuickBooks for bookkeeping and payroll processing
- Excellent communication skills—both verbal and written—and professional phone etiquette
- Strong calendar management skills to coordinate schedules efficiently
- Experience with event planning and vendor management to support organizational initiatives
- Knowledge of human resources procedures including onboarding, training & development programs
- Familiarity with multi-line phone systems, filing systems, and general clerical tasks
- Ability to handle budgeting responsibilities accurately and responsibly
- Prior experience in medical office management or healthcare settings is a plus but not required
